The Campus Security Office Assistant (OA) Dispatcher supports the operations of Campus Security, including coordinating office communications across the three Olympic College campuses, serving customers directly, responding to emails, answering, and dispatching phone and radio calls, issuing parking placards, ID cards, etc., entering, compiling, and reporting data, and scheduling employees at all campuses to fill necessary openings to maintain customer service. Under general supervision, the OA will independently perform a variety of clerical projects and assignments such as preparing reports and composing correspondence such as transmittals and responses to requests for information from Olympic College constituents and from external sources. The position will require extensive familiarity with Olympic College Campus Security Department policies, rules, and procedures, as well as state and federal requirements.

Job Description

Essential Duties

  • Monitor security activity by 2-way radio and phone and contact 911 emergency services for incident support.
  • Maintain communication across Campus Security staff at the other Olympic College campuses to coordinate the message and mission of Campus Security.
  • Provide excellent customer service, including corresponding by email, phone, teleconference, or radio, responding orally, or in writing to customer inquiries, requests, accolades, or resolving complaints regarding Campus Security services.
  • Coordinate the distribution and resolution of issues related to student and employee ID cards (including access), parking permits and citations, lost and found, and other issues incidental to Campus Security services.
  • Assist in the recruiting, hiring, and training of additional part-time office staff, as needed; provide work direction and guidance to staff in support of the Director.
  • Schedule office and security staff to ensure coverage.
  • Enter, compile, and report data for departmental reports, presentations, special projects, or proposals, including maintaining desk journal logs, incident reports in SECOMS (Security Operations Management System), coordinating with Student Development to ensure
  • Student Code of Conduct Violations are included in all necessary reporting, and supporting the completion of the Clery Act Annual Security Report.
  • Conduct quality checks of all incoming forms, documents, data, and reports for the minimum required information.
  • Maintain department budget information and order, receive, reconcile, and maintain office inventory following established departmental and procurement procedures.
  • Receive, sort, and distribute mail, records, and other materials.
  • Update the Campus Security webpage as necessary.
  • Attend training or meetings as scheduled or required. Complete selected online FEMA (Federal Emergency Management Agency) and SafeColleges training courses.
  • Operate any and all office equipment, technologies, software, and platforms, including computers, scanners, printers, copy machines, multi-line phone systems, radios, any and all associated software and programs, such as MS Office (Outlook, Word, Excel, Publisher), SharePoint, SECOMS, OnGuard, Video Viewer, 25Live, etc.
  • Perform related duties as required or assigned.

Minimum Qualifications

  • High School graduation or equivalent.
  • Two (2) years of full-time clerical or closely related experience.
  • Intermediate software experience including word processing, database & spreadsheets, MS Office preferred.

Terms of Employment

This is a full-time position classified position scheduled to work 40 hours per week. The starting salary is $32,856 with periodic increases and earning potential to $43,392 annually. Olympic College provides an excellent benefits package which includes vacation, holiday & sick leave, medical/dental/vision/life insurance. A collective bargaining agreement exists and this position is represented by the Washington Public Employees Association (WPEA).

  • Most candidates will be hired at the beginning of the assigned salary range and advance after 6-months of continuous employment and ever year following, in accordance with the collective bargaining agreement.
Conditions of Employment
