Employment Type : Full-Time

Office Administrator - Part-time (30 hours/week starting): Upper Marlboro, MD - based accounting services company seeks talented, dependable professional to manage administrative team. This position is NOT a telecommuting position.

FLSA: Non- Exempt position (hourly). Office hours are Monday-Friday (between 9:30a-7:00p) and Saturdays (9:00am-2:00p) Overtime evening or weekend work may be required during heavy work periods. MUST be available and able to work daytime hours.

Responsibilities include:

ADMINISTRATIVE:

  • Manages the reception area to ensure effective telephone and mail communications both internally and externally to maintain professional image
  • Act as a contact between clients and staff
  • File Maintenance & Filing
  • Oversee administrative staff
  • Internal Processes Management
  • Calendar and Database Management
  • Manage Administrative Processes and Staff
  • Human Resources Tasks as assigned
  • Participates in special projects as needed

ACCOUNTING SUPPORT:

  • A/R Support
  • A/P Maintenance
  • Support Accounting Department

COMMUNICATIONS:

  • Assist all departments with ensuring optimal customer service
  • Assist with marketing and advertising strategy
  • Attend events and speaking engagements with the CEO
  • Research projects as assigned

REQUIREMENTS:

  • Minimum of 3-5 years of progressive administrative experience.
  • Executive Support Experience
  • Accounting office experience (preferred)
  • Must be proficient in QuickBooks (testing required during interview process)
  • Intermediate proficiency in Microsoft Excel.
  • Proficient in MS Office, Google Systems, and Adobe.
  • Must be accurate & organized; meet deadlines; be detailed oriented with strong analytical skills.
  • Self Starter that shows initiative
  • Team player with ability to work independently.

Skills Needed:

  • High School Diploma or equivalent preferred; college degree a plus.
  • Proven working experience as a personal assistant or executive level administrative support
  • Three-Five years of progressive office experience;
  • Knowledge of office management systems and procedures
  • Microsoft Office (Excel, PowerPoint, Word) proficiency.
  • QuickBooks proficiency
  • Outstanding organizational and time management skills
  • Ability to multitask and prioritize daily workload
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Successful passage of background check

Salary: $18 per hour PLUS Bonuses STARTING

Work Environment and Physical Requirements:

  • Standard office environment – sitting, walking, standing – with use of information technology may apply such as cell phones, email, keyboarding, reporting software.
