Position Summary:
Patrick & Henry Community College is seeking self-motivated professional and team player to be our next Nursing & Health Sciences Assistant. This individual is to provide administrative and educational support and coordination for the success of the Nursing & Health Sciences Department as a member of the (STEM-HAP) division that enhances the quality of services offered by Patrick Henry Community College.
Serve as the Nursing and Health Sciences departmental assistant. Provides a wide variety of educational and administrative support duties for the nursing and health science applied and transfer programs. The position is a direct support to the Director of Nursing and Allied Health, departmental full time faculty, adjunct faculty, health science program advisor and the nursing retention specialist. The position supports National Accreditation requirements for three degree program, provides support for approved Virginia Department of Health Professions programs, and Virginia Office of Emergency Medical Services programs. Provides support in record maintenance and data collection, budgetary functions of purchasing and expenditure tracking, and course scheduling. Position is also a front door point of contact for departmental inquires. Coordinates departmental needs as directed and is a secondary support to the dean of the STEM-HAP division. - Coordinates office functions to facilitate departmental success while working with Director, departmental faculty, adjunct faculty, full-time health science advisor and nursing retention specialist.
- Supports application periods for competitive entry programs
o Generating written notification of application disposition and admission testing outcomes - Develops student databases for the purpose of data collection, tracking, and analysis
o Admission statistics o Health requirements o CPR Verification o Admission test scores - Creates student files with the intent of meeting regulatory agency expectations (i.e. ACEN, VA BON, VAOEMS, CAPTE, and others as necessary)
- Maintains accurate record of nursing student graduate class period and assist in monitoring their program status
- Distributes advisees with appropriate program placement and program advisor
- Maintains total headcount for program placed health science students to update yearly malpractice insurance
- Schedules background and drug screening process for newly admitted program specific students to maintain compliance with regulatory agencies
- Schedules waste disposal of biohazard materials from health program labs
- First point of contact for students seeking departmental information
- Responds to departmental inquiries (i.e. telephone, email, face to face) in a timely and courteous fashion
- Maintains minutes for departmental faculty meetings, advisory meetings, and subcommittee meetings per regulatory agency guidelines, and records, transcribes, and distributes accordingly
- Prepares purchase requisitions, processes invoices for payment, assist with travel and reimbursement needs of all departmental employees and maintains accurate records of departmental transactions
- Provide information to potential students, faculty and the community regarding program details and enrollment information.
- Supports departmental adjunct faculty
- Maintains records of official communications from regulatory and accrediting agencies for historical and departmental reference
- Primary point of contact for departmental equipment issues, reporting to appropriate personnel (i.e. nursing lab equipment malfunction, EMS lab equipment malfunction etc.)
- Processes course registration at specified college intervals
- Maintains departmental digital copier/fax/scanner
- Compose letters, memos, correspondence, and documents for signature, mailing, and/or distribution and prepare reports for submission
- Serves as a resource to departmental faculty and staff with regard to SIS, Chrome River, and other applications used to meet college policy for registration, student information, travel and purchasing policies
- Maintains course documents per semester i.e. copies of course syllabi, program specific handbooks and notifications, and others as needed
- Provides ongoing support to the Director of Nursing and Allied Health
- Maintains computer lab testing requests and coordinates calendar for face to face courses in all nursing and health science classes

o Laptop Cart Request - Schedules, orders, communicates, facilitates and proctors admission testing ADN, PN, PTA and EMS programs.
- Orders program specific tests at specific intervals each semester
- Processes admission testing invoices with local funds, request credits for unused tests
- Enters and maintains the Nursing and Health Science academic course offerings for summer, fall, and spring semesters for all health science programs including courses in the following:
o NUR courses o NSG courses o PNE courses o HLT courses o EMS courses o NAS courses (departmental specific) o SDV courses (departmental specific) o PTA course o Other courses as needed - Meets college established timelines for schedule of course entry, corrections, and changes
- Provide assistance to faculty for schedule creation;
- Work effectively with other academic divisions in scheduling of rooms and courses;
- a. Secondary support to the Dean of STEM-HAP
b. Secondary support to faculty and staff of STEM-HAP as needed during STEM-HAP administrative assistant absence
c. Coordination of Biannual division advisory meetings
d. Assist in coordination of division wide initiatives such as monthly division meetings and annual retreats
e. Participating in college committees and subcommittees as assigned
f. Assist in the preparation and facilitation of accreditation and regulatory agency site visits
g. Manage scheduling and utilization of the health science designated laboratories
Other as needed
Salary: Expected $32,000-$35,000, based on qualifications and experience, plus excellent benefits package.

Minimum Qualifications - Education, training, and/or work experience equivalent to an Associate’s Degree in a related area that demonstrates the ability to perform the essential functions of the job

- Highly proficient of computer programming and software systems, Student Information System Software, such as PeopleSoft, data entry, keyboarding, demonstrated competencies in computer software including word processing, database management and spreadsheet applications and electronic mail
- Considerable knowledge of state and VCCS policies and procedures
- Knowledge of educational program accreditation procedures ie. Virginia Department of Health Professions, CAPTE, ACEN, CoEMSP, CAHEP
- Ability to plan, support and coordinate departmental needs
- Ability to monitor and track budgetary expenditures
- Knowledge of faculty, programs, and student advising
- Ability to monitor and maintain inventory for equipment, product and supplies
- Must effectively demonstrate attention to detail, strong organizational skills, and the ability to meet deadlines and manage multiple tasks simultaneously
- Ability to process and maintain confidential student records
Preferred Qualifications
- Experience in Health Occupations programs
- Community College work experience,
- PeopleSoft, EVA, Chrome River (or similar systems) Experience
- Database development and management experience
- Experience with departmental purchasing and related record keeping
