Job Summary:

Position serves as a point of contact for Markel’s Meetings and Event department. Requires a take charge professional with the ability to assist in administration, budgeting, and logistics of numerous one-time as well as ongoing meetings and events.

The candidate will also provide assistance in management of Markel’s branding and promotional items. Familiarity with procurement, supply chain and distribution processes a plus. Individual will learn Markel’s branding requirements sharing knowledge with others in the organization.

The incumbent must be professional, detail-oriented, organized, and self-motivated. This position will require a positive attitude and ability to maintain a level demeanor under pressure. The Meeting and Event Planner should be passionate about hospitality, organized, and highly creative. The ideal candidate will be committed to providing outstanding service and organizing unique, memorable internal and external events that align with organizational goals and reflect the Markel Style and brand. The candidate will take online testing to determine baseline qualifications for MS Word, Excel, PowerPoint, Sharepoint, Business Writing and Analytical Skills.

  • Assist in planning and implementing meetings and events as directed
  • Assist in managing RFP process
  • Support in preparation of meeting communication materials and meeting/event collateral in collaboration with team members, event stakeholders and graphic designers
  • Assist with managing on-site production and clean up/close out of events as necessary/required
  • Conduct research and consult multiple resources to make decisions about event possibilities
  • Prepare name badges, materials, notebooks, packages, gift bags, registration lists, seating cards, etc.
  • Continuous communication with Meetings & Event team to ensure accountability and transparency
  • Propose creative approaches, new ideas, and opportunities in alignment with corporate cost?saving initiatives
  • Maintain timely, accurate, and well documented information for events as assigned
  • Review banquet and event orders for accuracy
  • Obtain and review AV requirements
  • Coordinate with vendors to ensure services and materials are professional and appropriately reflect high standards
  • Complete post-event reporting including reconciliation of expenses, budget finalization, evaluation of event, recommended improvements
  • Data entry and daily administrative functions in order to provide metrics
  • Participation in ongoing professional development including Certified Meeting Professional designation
  • Receive promotional item requests from throughout the organization. Source and procure appropriate high quality items within stated budget applying knowledge of Markel’s branding standards and requirements
  • Perform other duties as assigned
  • Ability to travel weeknights
  • Overtime will be necessary – exempt position
  • No relocation package provided
  • English language proficiency

Skills and Qualifications

  • 3-5 years of corporate meeting and planning experience required
  • Bachelor’s degree in Hospitality Management preferred
  • Certified Meeting Professional designation a plus
  • Calm, professional demeanor in high-paced, high-volume work environment
  • High energy personality with a strong sense of urgency
  • Excellent written and oral communication skills
  • Strong interpersonal skills required
  • Expert MS Office skills required – MS Word, Excel, Powerpoint, Sharepoint
  • Graphic design skills a plus – InDesign, Photoshop
  • Position located in Richmond, Virginia – no exceptions
