Position Summary:
To set up medical records in new and existing offices ensure medical records are organized and maintained in a confidential manner and to assist in correspondence regarding requests for client information. Assist in quality management ongoing internal record review to ensure compliance with agency and state requirements. Provide ongoing oversight of medical records staff to ensure consistent adherence to agency and Medicaid standards

Essential Job Functions:

  • Assists with the setup and organization of community mental health medical records offices, to include development and implementation of procedures and chart set up.
  • Trains medical records clerks on agency procedures to ensure all offices are running uniformly.
  • Audits and processes all client information reviewed in order to maintain organization of charts for all community mental health programs.
  • Works with Program leadership to update, revise and create forms to ensure compliance.
  • Assists in set up client files.
  • Monitors data entry of all client information into client database to ensure information is updated and accurate.
  • Responds to requests for client information and prepare appropriate correspondence in a timely manner.
  • Maintains file security and confidentiality.
  • Adheres to and keeps up to date on HIPPA standards and requirements.
  • Communicates needs, progress, suggestions for all sites medical records processes to supervisors, program managers, regional directors, and senior directors.
  • Contributes to effective teamwork by establishing and maintaining effective internal relations with all community mental health and agency employees.
  • Follows all agency policies, procedures and other specified standards accurately and consistently.

Minimum Qualifications and Skills:

  • High School diploma, GED or equivalency
  • 2 years medical records experience
  • Organization/Time Management
  • Communication
  • Basic computer knowledge
  • Ability to multi-task
