One of your responsibilities and roles will include organization and coordination of the practices’ and associated facility(s)’functions, day-to-day operations by performing administrative tasks and ensuring high quality patient satisfaction. Additionally, in this role, you are expected to multitask and able to prioritize to promote smooth work flow and patient care. Exceptional communication skills and the ability to handle sensitive information is also required.
Reviewed Responsibilities and Duties:
- Communication with managing physician on high priority issues and overall day-to-day operations;
- Front office - greet patients and assist with paperwork prior to appointments as needed;
- Welcome patients and prepare rooms for patient examinations;
- Update patient health records using medical software (demographics, insurance information) and interview patients to obtain medical and other vital information;
- Perform general office duties such as answering telephones, completing insurance forms, schedule and coordinate appointments;
- Prepare charts for patient appointments;
- Prepare patient encounter forms and needed information (i.e. demographics, insurance, etc.) for billing service and work in tandem with billing service in regards to patient financial responsibility with co-pays, account balances, and other issues as needed;
- Answer patient queries and complete Electronic Medical Record, Workers Comp, and No Fault forms as appropriate;
- Collaborate with doctors and nurses to assist with scheduling tests and procedures;
- Assist physician with examination and treatment of patients (supplying instruments and materials and/or assisting with procedures)
- Schedule and maintain records of OSHA compliance training annually;
- Develop and/or maintain/update practice website;
- Provide prescription information to pharmacies;
- Interact with building personnel (security, biohazard waste removal, janitorial, office vendors, equipment repair, etc.) as needed;
- Maintain office policies and procedures manual; and
- Assist managing physician with administrative tasks as requested.
Qualifications and Desired Competencies
- Strong computer skills in MS Office, Quickbooks and bookkeeping experience a plus.
- Experience in medical office management and receptionist duties.
- Understanding of medical office compliance with HIPAA, OSHA and employment laws.
- Good communication skills with warm, outgoing and professional approach.
- Positive attitude, strong work ethic and commitment to teamwork.
- Ability to multitask and prioritize work flow.
- Strong organizational skills, attention to detail and proactive self-starter.
- Strong written and oral communication skills.
- Office-based E&M and treatment preparation skills relevant for interventional procedures in the specialties of interventional pain management, vascular/superficial venous medicine, sports medicine, minimally invasive spine, cosmetic and aesthetic medicine, and regenerative medicine.
- Leadership experience a plus.

Mask required, temperatures checked at front desk, and all wash hands prior to each appointment. No waiting area and one patient at a time to allow proper cleaning between patient appointments. Would require COVID vaccination card up to date.
