The Marketing & Business Development Coordinator will contribute to all areas of the Firm’s marketing and business development operations, including written and visual communications, event management, and public relations. Primary responsibilities include proactively managing requests sent to the department mailbox, taking the lead on the Firm’s social media platforms, coordinating sponsorships, events, and webinars, and maintaining the Client Relationship Management (CRM) system. This position will also assist with updating attorney profiles, practice descriptions, various types of presentations, as well as general administrative duties as assigned by the Department Managers.

Successful candidates will be proactive, organized, and exhibit outstanding writing, proofreading, client service, and project management skills. Prior law firm or marketing agency experience is a plus, and candidates must be open to working at cannabis industry events outside traditional office work hours.

. Requirements:

Responsibilities of our Marketing & Business Development Coordinator include but are not limited to:

  • Assist with project planning by maintaining an ongoing project deadline spreadsheet to ensure deadlines are met promptly and within budget.
  • Monitor marketing inbox and assign/handle as appropriate.
  • Assist with webinars – including scheduling dates, coordinating with panelists, invitation production and execution, and social media promotion post-event.
  • Maintain and monitor firm social media accounts and alert relevant attorneys/staff/practice leaders when appropriate or when comments are needed.
  • Maintain the firm's events and speaking engagements calendar and proactively coordinate speaker applications and sponsor opportunities. Assist with event preparation and execution.
  • Compile weekly marketing team meeting agenda and take minutes for meetings as assigned (marketing, strategic committee, etc.)
  • Work closely with Marketing Managers and Directors, and PR firm, to compile metrics data reporting for bi-weekly Board report.
  • Assist with taking minutes in meetings as assigned by the Marketing or Business Development Managers.
  • Assist the Marketing Manager and Business Development Manager in tracking, producing, and submitting award/recognition submissions. Examples include Chambers, 40 Under Forty, Top List submissions, etc.
  • Monitor industry, firm, and attorney news for updates to VS social media and website.
  • Update and maintain industry membership and sponsorship lists and renewals.
  • Draft alerts, emails, social media posts, and blog posts as assigned.
  • Assist with onboarding new attorneys, including ordering new business cards and business card renewals.
  • Edit/proofread alerts, emails, attorney presentations, and other marketing communications.
  • Collaborate with attorneys and leadership on PowerPoint presentations and event materials.
  • Research and coordinate materials and negotiate pricing with vendors as requested.
  • Complete data entry and other administrative tasks.
  • Additional tasks and projects as assigned.

Qualifications:

  • Bachelor's degree preferred; high school diploma required.
  • Knowledge of traditional and digital marketing, content marketing, and social media marketing. Experience with Google Analytics is a plus.
  • Past work experience as a marketing coordinator, administrative assistant, or similar role.
  • Excellent oral and written communication skills; familiarity with common legal terminology a plus.
  • Proficiency in full Microsoft Office suite, especially with Word, PowerPoint, and Excel.
  • Experience working with digital marketing tools including Mailchimp, webinar platforms, and Adobe Suites.
  • Experience with NetDocs, webinar programs, Clio (or other CRM system), Lexis/Nexis preferred but not necessary.
  • Positive, team-oriented attitude with high attention to detail.
  • Exceptional time and deadline management skills with the ability to organize multiple projects and reprioritize as needed in a fast-paced environment.
  • Must uphold the highest standards of discretion and client confidentiality.
