The Manager, Grant Administration is primarily responsible for overseeing the day-to-day pre & post administration of SRAlab’s scientific and clinical research activities. These activities include management of Research Administrator staff and providing independent guidance and oversight to research Principal Investigators and staff in regards to grant submissions, award management and policies & procedures, balancing customer service and compliance needs.

Principal Responsibilities


  • Provide leadership, guidance and oversight of Research Administrators, managing gifts, grants and contracts.
  • Under the direction of the Director, Research Administration, coordinate with the Manager, Research Data and Systems to implement procedures to improve overall efficiency of the Office of Research Administration
  • Manage pre-award processes to ensure timely and correct submission of proposals, and assist with ensuring proposal and award data is entered into research systems.
  • Assist Research Administrators in reviewing and implementing sponsor guidelines and work with their Principal Investigators to provide timely information.
  • As assigned by Director, Research Administration manage pre-award workload including completion of funding agency proposal documents, creation of detailed budgets to ensure the feasibility of programs to be funded, working closely with the Principal Investigators to gather and maintain all additional materials to be submitted in the proposal packet.
  • Provide support for industry-sponsored clinical trials, creating budgets and ensuring that sponsors are billed correctly and appropriately.
  • Oversee and manage all research portfolio fiscal activities, from inception to closeout, continually evaluating and recommending alternatives to minimize risk while maximizing goals.
  • As assigned by Director, Research Administration manage post-award workload including financial oversight and management, budgeting, tracking of monthly grant and contract expenditures, cost control and analysis, forecasting, and compliance monitoring
  • Ensure timely processing and documentation of grant expenditures by collaborating with Financial Departments including Finance, Accounts Payable and Payroll, and Purchasing.
  • Participate in the evaluation, selection and implementation of new technology and systems to support and improve research administration operations.
  • Recommend and facilitate procedural changes in grant and/or contract administration as necessary.
  • Perform all other duties that may be assigned in the best interest of the Shirley Ryan AbilityLab.

Reporting Relationships

  • Reports directly to the Director, Research Administration

Working Conditions

  • Normal office environment with little or no exposure to dust or extreme temperature.

Required Skills

Required Experience

  • A professional level of knowledge of research administration generally acquired through the completion of a Bachelor’s Degree in a related field.
  • Minimum 7 years of research administration with 3 years leading teams.
  • Certified Research Administration (CRA) certification preferred.
  • Ability to interpret sponsor guidelines and regulations, including a detailed understanding of Uniform Guidance (2 CFR 200) and (45 CFR Part 75).
  • Proven ability to manage and prioritize multiple projects/tasks simultaneously.
  • Ability to communicate both verbally and in writing with all levels of the organization
  • High degree of organizational skill to manage a large, growing research program.
  • Understand and be able to manage complex effort scenarios resulting from multiple appointment types.
  • Demonstrated knowledge and expertise in federal, state, and private funding sources.
  • Knowledge of computer hardware and software, including communications, databases, spreadsheets, word processing, and graphics.
  • Excellent organizational and time management skills
  • Ability to work independently with a considerable amount of latitude for independent judgment and initiatives
