Specific Duties & Responsibilities 1. Responsible for overseeing and ensuring facility’s compliance with all applicable Federal, State and local laws, regulations, codes & internal policies pertaining to: a) Physical plants/environment (requirements are met either through services or our agency own in-house services). b) Safety. c) Sanitation d) Life Safety codes e) Acts as lead facilitator during survey process, coordinates and attends survey needs of inspector, by ensuring surveyor’s requests for information and materials are met by accompanying surveyor(s) throughout the process, as needs dictate. f) Initiates and completes the facility plan of correction on any maintenance deficiencies. g) Oversees the maintenance of fire alarm testing and emergency situations in accordance with established policies and procedures. Oversees the maintenance of appropriate records/test results. 2. Hires, supervises and monitors maintenance staff. 3. Exercises general policy and operating direction over the facility to include: a) Implements and monitors policies and procedures, which ensure the maintenance of all facility premises; the necessary staffing, training, equipment and environment to provide individuals with health and safety. Effectively communicates applicable information to the Residential Director. b) Responsible for areas such as health, safety, sanitation, transportation, maintenance and repair and proper utilization and management of staff, especially when problems in these areas exist at the facility. c) Adequately directs the staff activities ensuring staff are properly trained and deployed/assigned to their duties. 4. Exercises general budgetary direction over the department. Responsible for the department’s budget as follows: a) Prepares budget information specifically to annual budget for upcoming year. b) Monitors and manages department budget in a responsible manner e.g. stays within financial constraints, is able to justify overages, makes adjustments and corrections as necessary to offset expenses when needed, intervenes with problems as necessary, etc. c) Approves and maintains assigned fiscal records relative to departmental chart of accounts and expenditures. Assures adequate financial records and cost reports are submitted to the director, as required. d) Processes purchase requisitions, purchase orders, bills, receipts and invoices according to policy and in a timely manner. 5. Agency custodian of all departmental property, management and control as follows. 6. Develops implements and maintains a department wide personnel vacation calendar that encourages planned vacations, is fairly distributed among employees during peak time of the year and plans for proper back up and staff ratios/coverage. 7. Delegate’s authority and accountability to personnel commensurate with their knowledge, area of expertise and experience.
