Position Title: Legal Assistant/Secretary Pay Range: 39,500-46,000, TBD based on experience

Primary Purpose of Position
The primary purpose of this position is the efficient, timely and accurate performance of a variety of administrative, secretarial, clerical and receptionist duties.

Essential Duties and Responsibilities
The following duties are normal for this position. These job duties are not to be construed as exclusive, or a specific list, and other duties may be required and assigned by the County Attorney:

  • Open new criminal files and new civil files
  • Docket dates of upcoming hearings, deadlines, etc.
  • Prepare trial information and minutes of testimony for new criminal cases
  • Prepare guilty pleas, judgment entries
  • Prepare and sent letters to witnesses and officers regarding upcoming trial dates, both for District and Magistrate court
  • Transcribe dictation of letters, memos, and other legal documents of the County Attorney
  • File orders, correspondence, evidence, etc. in corresponding files
  • Prepare debt collection documents
  • Prepare juvenile petitions (CINA, Termination, and Delinquency), orders, other documents, and prepare for personal service by the Sheriff
  • Prepare claims for payment of incoming bills an statements
  • Open mail and take outgoing mail to the post office at the end of the day
  • Answer the telephone, and schedule appointments
  • Greet people who come into the office
  • Order supplies as needed
  • Other related duties or assignments as required or directed

Minimum Training and Experience Required to Perform Essential Job Functions
High school diploma or GED equivalent. Two-year degree in accounting or business or combination or training and/or work experience for Administrative Office Assistant. Excellent skills with all computer programs including Microsoft Office and Excel programs. A valid Iowa motor vehicle operator's license and proof of insurance.

Physical and Mental Abilities Required to Perform Essential Job Functions

Language Ability and Interpersonal Communication
Ability to classify, compute and tabulate data and information, following a prescribed plan requiring the exercise of sound judgment. Ability to compare, count, differentiate, measure and sort information.
Ability to assemble, copy, record and transcribe data and information.
Ability to explain, demonstrate and clarify to others within well established policies, procedures and standards, as well as the ability to follow specific instructions and respond to simple requests from others.
Ability to communicate professionally and courteously with the general public and other employees.

Judgment and Situational Reasoning Ability
Ability to use functional reasoning and apply rational judgment in dealing with employees and the general public.
Ability to exercise the judgment, decisiveness and creativity in situations involving a variety of pre-defined duties subject to frequent change.
Must also have the ability to remain calm and professional in stressful situations when dealing with the public.
Must have the ability to work independently and to exercise good judgment in making decisions in accordance with regulations, ordinances and law and to efficiently process data, records and reports regarding operations and services.

Physical Requirements
Ability to coordinate eyes, hands, feet and limbs in performing skilled movements required by the requirements of this classification including repetitive climbing.
Ability to exert light to medium physical activity, and able to lift and carry materials and sit for long periods of time, climb steps, and exposure to injury is possible.
Vision abilities required by this job include close vision, color vision and the ability to adjust and focus.

Environmental Conditions
Perform duties primarily indoors in an office space setting.

Pay: $39,500.00 - $46,000.00 per year
