For more information visit www.advocaredoctors.com JOB DESCRIPTION Summary/Objective: The Legal Assistant supports the Chief Legal Officer and General Counsel, the Vice President of Risk Management, Quality and Patient Safety and the Vice President of Compliance, Audit, and Privacy, performing various tasks including drafting, and reviewing documents, communicating with Advocare's Care Centers, preparing for meetings, and organizing/maintaining files. The position will include responsibilities ranging from very basic to highly complex. The Legal Assistant will be responsible for managing day-to-day operations including carrying out administrative tasks and providing support to the legal/compliance and risk management team. The ideal candidate for this position has strong organizational skills, strong work ethics is comfortable working in a fast-paced environment, and exceptional problem-solving skills. The downstream impact of the Legal Assistant's contributions will help Advocare's legal team support our organization’s valued Members, colleagues, patients, and business partners. Essential Functions: · Taking initiative to improve the efficiency and effectiveness of the organization’s legal, compliance, and risk management services. · Organizing contracts, insurance policies, and legal filings. · Coordinating the logistics of attending trials and depositions, confirming witnesses, reserving office space, and setting up computers and other needed equipment. · Managing legal documentation and correspondence in strict confidence. · Implementing and improving upon administrative processes for a more efficient workflow. · Handling communication with Care Centers, clients, and third parties. · Filing basic legal documents and correspondence. · Daily record keeping with electronic and physical filing of caseloads. · Create detailed spreadsheets and presentations as needed. · Helping to assess risk and compliance related to healthcare regulations and corporate compliance. · Reviewing, organizing and analyzing data regarding compliance issues (coding/billing audits; payor issues, potential HIPAA violations, etc.). · Drafting forms and policies under the supervision of the VP of Compliance. · Scheduling meetings, conference calls and otherwise maintaining department members' calendars. · Providing administrative support to department members, including preparing mailings, corresponding with external parties and drafting letters and other documents. · Reviewing and facilitating active and efficient management of subpoenas and record requests. · Arranging in-office meetings, greeting guests, setting up conference room/refreshments. · Ordering department supplies as needed. Required Competencies (Knowledge, Skills, and Abilities): The requirements listed below are representative of the knowledge, skills and abilities required. · Excellent time management, organization and planning/problem-solving skills. · High level of proficiency in Microsoft Office software applications - especially Word, Outlook, Excel, and PowerPoint. · Strong analytical and written communication skills and the ability to transform concepts into the clear and effective written word. · Ability to maintain the security of corporate proprietary information and confidential personnel data. · Strong grasp of HIPAA, HITECH, and other privacy laws. · Meticulous attention to detail and commitment to project ownership, accuracy and completion on a timely basis. · Demonstrated effectiveness operating in the complex organizational and regulatory environment. · Strong interpersonal skills with the ability to effectively listen and communicate to varied levels. · Experience with contract database program (MediTract) a plus.
