Oversees the medical transcriptionist and accessioning team in the core Surgical Pathology area. Ensures consistent use of standard work and accurate practices. Monitors incoming cases and matches staff to volume, especially for high priority cases. Captures defects and uses reporting mechanisms to guide improvements. Onboards new employees and helps to maintain accreditation standards. Interacts in a positive and supportive manner with all team members.

PRINCIPLE DUTIES AND RESPONSIBILITIES

  • Demonstrates a high level of competency in performing all Medical Transcriptionist – Pathology duties and troubleshooting equipment and software applications, including scanners, cassette etchers, and multiple information systems.
  • Demonstrates exceptional customer service skills in communicating with internal and external customers.
  • Investigates and resolves problems associated with patient specimens and requisitions. Seeks information as needed from information systems, members of laboratory staff, and other sources. Regularly engages in a variety of contacts inside and outside the organization in order to obtain or relay information and gather data.
  • Participates in the interview process for selection of new medical transcription staff and assists in the onboarding of new employees.
  • Assess daily responsibilities and oversee work activities of the Medical Transcriptionist staff such as assigning and ensuring standard work, training, and explaining and ensuring adherence to departmental policies, procedures, and practices. Oversees scheduling and time off to ensure all work stations are competently and adequately covered. Provides input into the preparation of employee performance evaluations.
  • Monitors incoming case volume and maintains a Heijunka board by identifying outstanding cases and implementing countermeasures to return to standard turnaround expectations. Demonstrates a thorough understanding of specimen requirements and prioritizes workload to ensure prompt handling of high priority specimens.
  • Monitors and maintains supply chain inventory utilizing the Kanban inventory system.
  • Gathers information and workload data to prepare reports and huddle boards. Monitors daily quality metrics and participates in the Daily Management System, including daily huddles with other Surgical Pathology team leaders.
  • Participates in meetings to improve quality, safety, and timely service. May summarize for verbal and formal reports.
  • Monitors and records deviations from standard procedure in the Deviation Management System. Escalates issues to leadership as necessary. Tracks and trends deviations to identify areas for improvement.
  • Participates in process improvements to track and reduce defects. Presents information about ongoing process improvement projects at departmental Share the Gain meetings.
  • Establishes, maintains, and revises record keeping and filing systems in a manner helpful for accreditation inspections and improved operations.
  • Models Team Member Standards of Excellence to be an integral part of creating “The Henry Ford Experience.”
  • Assists in other duties as assigned or required

EDUCATION AND EXPERIENCE REQUIRED:

  • Requires a high school diploma or GED.
  • Requires formal training in Lean principles and methodologies, including the use of Deviation Management, Daily Management, and Heijunka boards.
  • Demonstrated competency with all information systems for use in this position (i.e. Epic, CoPath, Sunquest, and Master Control).
  • Must demonstrate proficiency in accurate and rapid data entry with excellent spelling, grammar, and proofreading skills.
  • Requires demonstrated familiarity with medical terminology and anatomic pathology terms.

PHYSICAL DEMANDS/WORKING CONDITIONS:

  • Minimal exposure to noise, dust, or extreme temperatures. Exposures to odorous and/or toxic chemicals and specimens. Must be able to perform computer entry in an accurate manner according to peer-based standards of productivity.
