We are looking for a Lead Medical Receptionist with a $1,000 Sign-On Bonus with the AMG Montgomery Neurology Department at St. Joseph Heritage Healthcare.

Location: Santa Rosa, CA

Work Schedule: Full Time - 80 Biweekly Hours

Shift: 8-hour, Days

Job Summary:

Under the general supervision of the Manager of Clerical Services, this position supervises the day-to-day operations of the assigned SJHH Front Offices with the responsibility of coordinating Front Office staff and patient interactions.

Essential Functions:

  • Responsible for supervising all Front Office employees.
  • Analyzes and evaluates office operations and procedures and other clerical services to ensure efficiency of workflow.
  • Helps to establish uniform correspondence procedures and style practices.
  • Formulates procedures for the most efficient systematic retention, protection, retrieval, transfer, and disposal of medical records.
  • Plans office layout to maximize space and resources available.
  • Coordinates activities of various workers within department.
  • Backs up any position in the Front Office, if necessary.
  • Sets work schedules for the Front Office staff.
  • Resolves personnel problems for the Front Office and provides ongoing staff counseling and feedback, as necessary.
  • Approves all overtime for Front Office staff.
  • Arranges vacation schedules and coverage for Front Office staff.
  • Provides problem-solving techniques with respect to other departments, including Nursing, Research, Lab, etc.
  • Formulates solutions and implements plan to prevent breakdown in communication between patient and staff.
  • Maintains physician schedules that include patient visits, committee meetings, vacations, conferences, and float days.
  • Responsible for integrity of encounter forms sent to Billing Department.
  • Supervises preparation of daily payment log for all monies collected from previous day.
  • Monitors staff performance and performs introductory and annual performance reviews with administration.
  • Identifies cost saving methods to best utilize staff and available resources.
  • Maintains accountability for use of time and materials provided by practice/corporation.
  • Reviews daily schedules to ensure efficient "patient flow".
  • Handles difficult patients in a professional, calm manner that is least intrusive to the practice.

Skills :

  • Basic computer skills including Microsoft Windows, Word, Excel, and an e-mail system.
  • Knowledge of medical terminology required.
  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
  • Ability to write reports, business correspondence, and procedure manuals.
  • Uses professionalism and honesty in all business dealings on behalf of SJHH Ability to effectively present information and respond to questions from groups of managers, physicians, patients, and outside medical personnel.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Remains flexible with regards to job assignments that may require the necessity to cover other departments or locations.
  • Demonstrates excellence in customer service when dealing with both external and internal persons while on the job.
  • Ability to compute rate, ratio, and percent.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Understanding of CPT & ICD10 coding, CDS processes preferred.
  • Bilingual Spanish/English communication skills preferred.

Minimum Position Qualifications:

Experience : 2 years of Supervisor experience or training; 3 years preferred.

Preferred Position Qualifications:

Education : Associate's Degree or combined experience/equivalent

Experience :

  • Experience with Medicare & Medi-Cal, Private Insurance Coverages and Authorization Processes.
  • Experience with Epic preferred. EHR experience required.
