IT Administrative Assistant Details

The IT Administrative Assistant will support our IT leadership team along with coordinator current and future projects.

RESPONSIBILITY LEVEL:

Implements strategies to achieve the goals for the organization and provide ongoing administrative support and logistics to the IT Management team. Coordinates and assists with numerous project tasks that are managed by IT. Typically works on projects and initiatives that span 3 – 12 months or longer.

PRINCIPAL DUTIES:

1. Collect demand requests from IT or other business units and work with requestor to define requirements, document findings, confirm needs, and help in the establishment of requirement material for the request to be submitted for priority consideration.

2. Independently run and own various aspects of project management including: establishing project plans, confirming TCO, engaging others in IT for feedback, aligning staffing per IT demand processing and executing the effort.

3. Develops agendas, action items, follow-up, and coordinating logistics related to project and initiative activities.

4. Independently review professional IT documents (vendor proposals, statements of work, developing RFP, gathering RFP responses) to collect information and provide professional overview of IT / Business Leadership.

5. Facilitates and assists in creating reports from various systems, designing PowerPoint presentations, announcements, and other communications as required from the personal initiative and knowledge or verbal direction, depending on the circumstances.

6. Compose confidential correspondence, memos, and presentations; revise documents for proper format and proofread for accuracy.

7. Process documents, data, and materials to disseminate information to appropriate parties and input data into systems.

8. Use reporting tools to develop informational materials for projects, initiatives, and programs.

9. Coordinate requisitions/purchase orders for vendors, office supplies, and other expenses, entering them in a marketing tracking sheet used by finance and filing them as necessary.

10. Completes various administrative tasks, including managing a calendar of appointments and preparing correspondence.

11. Project and Change Management: Effectively plans and manages own work to reliably complete routine job responsibilities and special assignments. Periodically serves as a team member or subject matter expert on formal or department projects.

12. Problem Solving: General supervision, regular review of work by manager or senior coworker. May be paired with a senior team member for development purposes and direction setting. Uses skills to solve problems of routine complexity; able to identify root cause, interpret data, and resolve issues.

13. Technical Skills: Fundamental knowledge of professional principles and skills. Works in compliance with established procedures. Works with a multitude of technical systems including, but not limited to: project management tools to administer project tasks and monitor progress, Microsoft Excel to tabulate information, Microsoft PowerPoint to present information, Microsoft Outlook to coordinate meetings and administer emails, and websites to obtain or update data.

14. Community Engagement: Serves as an ambassador for Goodwill in the wider community. Participates in volunteer opportunities as schedules and interest permit.

15. Complete all other duties/responsibilities as assigned.

REQUIREMENTS:

1. Two years of college education or experience equivalency, and a minimum of 3 years’ experience.

2. Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Visio, PowerPoint).

3. Skilled in utilizing judgment and diplomacy to direct work in a fast-paced, high-stakes environment.

4. Robust multi-tasking skill set, including quickly shifting priorities and direction.

5. Must be well organized, have acute attention to detail, and have the ability to handle multiple tasks with excellent follow-through.

PHYSICAL/SENSORY DEMANDS:

Job requires the following: remain stationary for sustained periods of time; ability to move about to accomplish tasks; must be able to operate a computer or similar technology, which typically involves substantial motions of wrist, hands and/or fingers; visual acuity to perform activities such as preparing data, operating equipment or review thoroughness of work; ability to communicate with others and exchange information.
