Intake Coordinator

Mosaic Pediatric Therapy is North Carolina’s leading provider of applied behavior analysis (ABA) services for children with autism.

Mosaic has an exciting opportunity for an individual to join our growing team as the first point of contact with prospective clients (patients). The Intake Coordinator will work 9:30 AM to 6 PM Monday-Friday and is responsible for handling all aspects of the client intake, benefits verification, and prior authorization processes. The Intake Coordinator reports to the Intake Manager and will be responsible for:

  • Serving as the first point of contact for prospective clients inquiring about services, providing detailed information about Mosaic’s programs and policies.
  • Shepherding each family through the intake process with a relentless focus on customer service and satisfaction, updating families at each step of the process.
  • Collecting key demographic and insurance information and contacting insurance companies to verify coverage and benefits.
  • Obtaining prior authorization for services, acting as the liaison among the child’s physician, insurance company, and family to obtain all required information/documents to ensure timely and accurate authorizations.
  • Maintaining meticulous records of all interactions/communication with the child’s family and the insurance company.
  • Participating in weekly intake team meetings to ensure coordination and team-building among Intake staff;
  • Performing various clerical work that includes filing, copying, and faxing.
  • Other duties and responsibilities as assigned.

Education and Experience:

  • High school Diploma
  • 2 years of Administrative or patient intake experience in a healthcare services environment.
  • Must be detail-oriented with excellent verbal and written communication skills and a willingness to spend long periods of time on the phone.
  • Basic knowledge of medical billing and coding is preferred.
  • Experience using electronic medical record (EMR) applications and Microsoft Office (especially Excel) and/or equivalent G-suite applications is required.
