Title: Implementation Payroll Specialist
FLSA Status: Full Time Employee/Non-Exempt. Must work CST or MST.
Reports to: Sr. Implementation Manager
Purpose:
The Implementation Payroll Specialist will showcase exceptional client service while guiding new clients and their employees through all phases of the implementation payroll process until they transition to their Client Success team. This role will be directly responsible for accurately processing new client payrolls to ensure successful, sustainable, and long-term partnerships
Essential Job Duties and Responsibilities:
- Responsible for managing the payroll process for Implementation clients
- Ensures that client payroll issues are being resolved in a timely manner and that all escalated matters are handled with a sense of urgency
- Maintain knowledge of changes in wage and tax laws to develop a trusted relationship with clients
- Day-to-day payroll maintenance, including accurate and timely processing of payroll entries, child support/garnishments, benefit deductions, direct deposit information, employee setup and other assigned payroll functions
- In-house support for the Implementation, Client Success, and Time & Labor departments
- Act as a liaison between Implementation, Time & Labor, and Client Success
- Builds quality relationships with sales and client success to meet client expectations and quality standards.
- Participates in recurring new client Implementation meetings and Implementation transition meetings
- Maintain quality control of payrolls processed by assisting to develop audit procedures, as well as assisting in the review, tracking, and training to correct and minimize errors
- Research and resolve client and system problems to ensure accurate payroll processing and custom report configuration
- Provides support and training to new clients and employees regarding payroll software and general payroll needs
- Assisting with special report requests
Other Duties
- Assist clients with Time and Labor, helping to resolve export issues and assigning managers, creating new users and resetting passwords
- Assist client employees with questions they have regarding benefits, pay vouchers, taxes and employee portal assistance
- Responds to client questions concerning payroll processing procedures and completing new employee packets, payroll deduction authorization forms, and required documentation.
- Tax and General Ledger set up
Qualifications and Skills
- Must have a passion for customer service, desire to connect with people and commitment to building strong relationships with our clients
- Prior experience processing payroll in PRISM required
- Strong conceptual skills, attention to detail, and the ability to multi-task
- Strong problem-solving skills
- Superior organizational skills
- 1-2 years of multi-state payroll experience preferred
- Prior PEO or Payroll experience strongly preferred
- FPC or CPP is desirable
- Strong proficiency with Microsoft Office 360 and comfortable with technology
- Foster strong relationships across departments to achieve a collaborative team environment
- Excellent verbal, written, interpersonal communication skills
- Be adaptable in a fast-paced, deadline-driven, multi-faceted environment
- Ability to prioritize work, delegate and manage time effectively. Ability to break things down into clear, concrete steps and tasks
- Ability to develop knowledge of complex payroll concepts, accounting, benefits administration, and HR processes and/or procedures
Physical Demands / Work Environment:
- Flexibility to work from home or office
- Employee may experience long periods of continuous time focusing on a computer monitor
- Required to sit for prolonged periods of time
- Walking, bending, stooping occasionally.
- May require overtime
