Associate Director of Finance and Development
Position Summary
The Associate Director of Finance (ADFD) ensures that our school community has the strongest possible policies and processes in place to support strong student outcomes. As our ADFD, you will lead the work on procurement, expense management, grants management, development, and board management with superior organizational, project management, and communication skills. You will be in a unique position to ensure that our school is provided with high-quality systems and day-to-day operational support.
As the school’s ADFD, you will report to the Director of Finance and Operations and be a member of the school-wide leadership team.
Key Responsibilities

Contracts and Expense Management
- Manage procurement and purchasing, including reimbursements, ensuring adherence to the DC Scholars Financial Policy Manual
- Ensure that DC Scholars is financially responsible by providing support to school leaders on finance-related topics including budget updates and procurement processes
- Manage RFP process, timeline, and compliance for contracts over $25,000
- Support annual school and operations-specific budget creation and revision in coordination with the Director of Finance and Operations
- Manage whole-school budget tracking and reconciliation of all accounts payable within Net 30
- Prepare compliance documentation (e.g. federal grants, Board documents, and contracts) for the annual financial audit
- Manage and report on internal auditing of petty cash holdings and oversee all student Field Trip payments
- Assess school needs regularly for procurement, inventory, and asset management
DC Scholars Board of Trustees
- Coordinate planning and communication for Board and committee meetings
- Work with Finance Committee Chair to prepare agendas; provide materials needed and follow up required to execute on Finance Committee responsibilities
- Monitor compliance requirements and prepare compliance submissions to the DC Public Charter School Board (PCSB) and the Office of the State Superintendent of Education (OSSE)
Grants and Development
- Coordinate, develop, and submit all grant applications and amendments for federal and local grants (i.e. Title I, IDEA, SOAR) in collaboration with school leadership
- Oversee and manage grant compliance (reporting and resource tracking) and coordinate with teams which manage policies and procedures required by federal funding (i.e. Family Engagement Policy, Early Childhood Transition)
- Produce all required semi-annual and/or annual reports for grant applications and manage grant monitoring visits, with support from school leadership
- Collaborate with the Board and school leadership (HOS, ED, and DFO) to develop and implement the school’s development strategy
- Work closely with the full network to raise awareness for the organization and craft messages appropriate to multiple stakeholders
- Oversee maintenance of MightyCause donor services database and email marketing campaigns (when relevant to fundraising)
Leadership and Management
- Serve as part of the school-wide leadership team
Qualifications and Skillsets
- Bachelor’s degree required
- At least three years of work experience in a similar, school-based role
- Demonstrated ability to plan and monitor school budgets and to manage school expenses and financial transactions to ensure that the school stays within budget and adheres to all financial policies and procedures.
- Fiercely organized and execution-oriented; comfortable managing many moving parts and consistently delivering on time
- Experience developing strong project plans with acute attention to the smallest details to ensure smooth, predictable, and effective outcomes
- Exemplary communication skills (written and oral) and the ability to communicate with a wide range of clients and constituents, including scholars, parents, vendors, staff, board members, and donors
- Ability to maintain professionalism, confidentiality, and discretion on a variety of sensitive topics
- Must be highly collaborative and believe strongly in the important role of synergistic relationships in solving complex problems
- Ability to relentlessly pursue goals, and work through obstacles. A high degree of initiative in resolving problems and implementing solutions in a fast-paced environment
- Experience writing and submitting strong grant applications preferred
