POSITION OVERVIEW

The Rady School of Management Human Resources Generalist is an integral part of the Rady School's success. This position works as a team with a Senior HR Generalist to ensure that Rady staff are happy in their work environment and that recruitments are completed in an equitable and timely manner. The Rady HR Generalist 2 position focuses on recruitment and hiring, orientation and onboarding, job descriptions, and data collection. The position also guides staff and supervisors regarding leaves of absence and on the job injury procedures. The position collects and analyzes HR data and makes entries of confidential information into multiple online systems.

Under the direction of the Rady School Senior Staff HR Generalist 2, this position's primary focus is to coordinate Rady School staff recruitment & hiring activities, guiding supervisors and interacting with job applicants. The position recruits and hires for a broad variety of professions including web designers, academic advisors, financial analysts, IT techs, lab research associates, business consultants, admissions experts, careers advisors, academic schedulers, faculty assistants, marketing specialists, admin staff, custodians, and more.

The HR Generalist 2 oversees and monitors the entire recruitment process for entry level staff positions including coordinating all activities from job postings through job offer (job posting; resume review; scheduling and coordinating interviews; interview invitations and confirmations; interview questions and evaluation tools; interview process; reference checks; an the job offer). The position trains supervisors and others on the UCSD HireOnline recruitment system and advises on the nuances of resume screening and sometimes participates on interview panels. The goal of this position is to provide an exceptional experience for applicants and interviewers.

The Rady School of Management HR Generalist 2 position establishes ongoing contact with Rady staff, from the time of first interview, serving as an information resource for the department's 120+ staff including front-line staff, supervisors, student workers, and temps. The Rady School Human Resources Generalist 2 is a source of information regarding a wide variety of topics of interest to Rady staff, responding in a timely manner to questions related to pay, benefits, job descriptions, and general personnel policies, and union contracts. The position also is involved in onboarding of new employees, and making entries into UC San Diego's online onboarding system and online personnel and payroll system, UCPath. The position confers with staff employees and supervisors regarding confidential leaves of absence including FML, parental leave, and bereavement leave and ensures that all necessary documents are completed in a timely manner.

The position also keeps track of and analyzes data such as recruitment timelines, employment status (Temps, STEs, student, and career FTEs), orientation attendance, FMLs, flexible schedules, performance appraisals, job descriptions, job postings, mandatory training, etc. This position has minor backup responsibility for payroll/timekeeping (making entries into UC San Diego's timekeeping Ecotime). It is also involved in many "back of the house" activities that require solid tech and admin skills including creating docs such as offer letters, Excel to organize or collect information, Outlook/Zoom to schedule interviews Outlook email, and the ability to learn and shift between multiple UC San Diego online systems while reviewing resumes, researching job description information, and communicating with supervisors.

QUALIFICATIONS
  • Bachelor's degree in human resource administration or Professional Human Resources national certification (via SHRM) or other HR certificate or equivalent combination of education and work experience.

  • Experience interpreting human resources policies in order to serve as a resource for employees and supervisors. Experience explaining policies in a timely, understandable manner regarding a variety of questions related to job interviews, benefits, vacation time, personnel policies, etc. Experience researching online information/links, experience assisting employees in finding information and in completing necessary forms.

  • Rapport-building skills. Client-centric skills. Communication skills appropriate to a professional business setting. Experience establishing credibility and rapport with a wide variety of staff including supervisors. Writing skills to independently compose and edit documents; experience writing short emails to staff re HR updates.

  • Strong problem solving skills. Analytical skills to conduct analysis and develop recommendations based on observations, facts, and policies; experience identifying and explaining options related to HR issues.

  • Proven experience organizing and monitoring a complex, formal recruitment process, conducting multiple job openings simultaneously. Experience writing appealing job announcements, effective interview questions, and evaluation forms. Experience scheduling interviews. Experience interviewing and evaluating job applicants. Experience conducting reference checks. Experience creating routine job offer documents, experience making job offers to applicants.

  • Demonstrated experience explaining recruitment policies and online recruitment systems to supervisors and interviewers. Experience guiding supervisors regarding applicant selection and evaluation.

  • Outlook calendaring experience to schedule interview panels; patience to determine available interview slots when booking multiple interviewers. Experience moderating interviews using Zoom, setting up a waiting room, using chat, setting up breakout rooms.

  • Demonstrated experience creating and updating job descriptions for a wide variety of positions in a large organization with a formal, complex classification process.

  • Proven experience orienting or onboarding employees, new hire paperwork, I-9 forms, etc.

  • Experience processing online payroll, explaining timekeeping processes to employees, and responding to questions about overtime pay, comp time, pay periods, and salary ranges. Experience calculating service credit/seniority/vacation accrual.

  • Proven experience using online HR sites/software to quickly and accurately enter data, run queries, calculations, and produce reports. Experience using Excel or Google Sheets, databases to track a wide variety of HR related data. Experience with and comfort learning new online systems.

  • Experience using effective listening skills, skills to identify key issues of concern. Experience maintaining respectful composure and a positive, collaborative, confidential, professional demeanor at all times.

PREFERRED QUALIFICATIONS:
  • Experience using UCSD HireOnline, JD Online, UCPath, Ecotime, online staff performance appraisal system; prior experience using a PeopleSoft HR system.
