GENERAL STATEMENT OF DUTIES
This position provides support to the field and Home Office through assistance with various aspects of employee hiring, record keeping, and compliance. Performs a variety of administrative duties primarily in support of Human Resources. This position is responsible for excellent customer service both in person and through answering a high volume of calls.
ESSENTIAL FUNCTIONS
- Answer and route phone calls, emails and faxes; make phone calls to staff as indicated or directed
- Review and process new hire paperwork including coordinating background checks, new hire bags, and new hire systems entry
- Creates and maintains current and separated employee files
- Complete employment verifications in a timely manner
- Provide clerical support and project assistance to various departments. Examples being completing and mailing anniversary cards and entering census reports weekly
ADDITIONAL DUTIES
- Maintain and order office supplies and other materials as needed
- Schedule equipment repairs as needed
- Maintain lobby appearance
- Other duties as assigned by management
JOB SPECIFICATIONS
- High School graduate or equivalent required
- 1 year of experience as an administrative assistant or HR Coordinator is preferred
- Must be able to effectively use and troubleshoot basic computer problems
- Proficient in Microsoft Word and Microsoft Excel
- Excellent organizational skills
- Must have excellent telephone etiquette and communication skills, verbally and in writing
- Knowledge of HIPAA and confidentially rules and regulations
- Ability to sort files alphabetically and according to content
- Ability to develop and maintain positive working relationships with staff and community
OTHER REQUIREMENTS
- This position is subject to pre-employment and random drug testing.
WORK ENVIRONMENT AND PHYSICAL DEMANDS
- Duties are primarily performed in an office environment and require sufficient personal mobility and physical capability to permit employee to function in this environment.
- Requires sitting at a desk for up to 8 hours and ability to lift up to twenty (20) pounds;
