Title: Operations Supervisor, Medical Review

Location: Portland OR (downtown- parking available and paid for employees)

This position is responsible for working with the Department Manager or Director to supervise and manage daily production to meet or exceed targets for quality, timeliness, and productivity. The person in this role helps plan and execute Department activities; assists with client-specific projects as well as internal projects. Additionally, this person will adapt lean tools to drive continuous improvement in quality, capacity, and operational excellence including setting metrics and targets, visual management, standard work, job aids, Gemba, PDCA, etc. The Operations Supervisor, Medical Review provides leadership to new and existing frontline staff in the areas of training, increased capacity, flexibility, and process improvement. This position works collaboratively with medical directors, clinical operations management, sales, and IT staff to identify and execute improvement initiatives that drive company performance.

Duties and Responsibilities

  • Manage daily end-to-end production from staff
  • Assist Department Manager in balancing daily resources to ensure optimal case flow
  • Check call-ins for staffing and adjust labor plan accordingly
  • Time-Card Management
  • Monitor compliance to breaks
  • Lead team stand-ups
  • Oversee production start-up
  • Escalate problems to Manager/Director/HR
  • Identify and solve problems through observation and analysis
  • Monitor hour-by-hour performance (Takt) using visual management tools
  • Reinforce and correct performance as needed
  • Train the front-line staff as needed
  • Create/adjust staffing schedule
  • Work in production when needed (up to 15%)
  • Maintain effective rapport with team members, other leaders, peers, client professional support staff, administrators, and physicians’ offices
  • Actively support corporate strategic plans
  • Maintain confidentiality and privacy as defined by the state, federal, and company regulations and policies

  • Experience leading and collaborating with other Leads, Supervisors, and Managers
  • Experience in or knowledge of the utilization review process (prior authorization, concurrent review, appeal, external appeal)
  • Experience in or knowledge of medical editing
  • Supervision of direct reports and documenting performance issues
  • Ability to provide constructive feedback to team members
  • Ability to work in a culture of continuous improvement, identifying opportunities and collaborating with staff to deliver projects to completion
  • Bachelor’s degree preferred
  • Lean management experience preferred

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year
