Position Summary:

The Guest Services Attendant is responsible for answering and directing all incoming telephone calls, taking messages as appropriate, greeting office visitors and maintaining the lobby and reception area in a professional manner. The Guest Services Attendant coordinates conference room and visitor office assignments in conjunction with team members to ensure all requested services are provided including catering, equipment, supplies, videoconferencing, conference room scheduling and set up, and visitor office assignments. Additional tasks will include maintaining the general appearance, preparedness, cleanliness and stocking of the conference rooms, kitchens and pantries. This position works under general supervision and relies on instructions and pre-existing guidelines to perform the essential functions outlined below.

As a Guest Services Attendant you will:

  • Provide direct assistance with daily operations and ensure quality customer service at the reception desk to include greeting visitors as well as telephone and conference room coordination
  • Operate a multi-line telephone console to relay incoming, outgoing, intra-system, long distance, and international calls
  • Schedule conference rooms and coordinate all necessary arrangements and logistics for catering, audio-visual, security and other requests through the Condeco application; and assist other personnel with using the application
  • Greet all Firm visitors including clients, attorneys, applicants, maintenance/repair persons and direct scheduled visitors to the appropriate attorney or staff member in accordance with Firm policies and procedures
  • Support the Hospitality team by preparing and maintaining conference rooms including delivery and set-up of food, beverages, conference equipment and supplies; as well as the timely breakdown and cleaning of the conference rooms after each meeting; and basic maintenance of equipment
  • Help process catering invoices with appropriate attorney and client numbers for all food and beverage requests as needed
  • Maintain professional appearance of lobby and reception area
  • Provide support to Facilities, Information Governance, Human Resources, and other Firm departments; assist with special projects as needed
  • Follow standard security policies and procedures in coordination with building security
  • Assist travelers in the local office by interfacing with McDermott’s travel provider as needed

Job Specifications:

  • High school diploma or equivalent
  • At least two (2) years of related work experience
  • Knowledge of Microsoft Office Suite (Excel, Outlook, PowerPoint, and Word)
  • Strong written and verbal communication skills
  • Ability to work effectively in a fast-paced environment
  • Ability to communicate in a friendly, approachable, and customer service oriented fashion by phone and with visitors, providing information with professionalism
  • Ability to work flexible and/or additional overtime hours and weekend as needed
