The YMCA GROUP X Administrative Assistant will be responsible for Group X administration and business matters including but not limited to; Group X Instructor payroll, hire process, MINDBODY and sub system, Group X metrics, and instructor training compliance. Communicate with outside parties for education trainings, conferences, and virtual opportunities.
Reports to: Association Director of Group Exercise
Position Requirements:
- Ability to analyze numerical data and analytics
- Strong verbal and written communication skills
- Working knowledge of Microsoft Office Applications such as Sharepoint, OneNote, and Excel
- Working knowledge of MINDBODY
- Ability to work collaboratively cross-functionally
- Ability to prioritize tasks and processes
Responsibilities:
- Respond to staff and member questions/help regarding group fitness classes, scheduling, MINDBODY app and virtual platform
- Maintain current branch and virtual schedules
- Ensure classes are covered and facilitate sub procedures in branches and through our virtual branch schedule/software
- Ensure class attendance is being recorded properly and accurately
- Is able to maintain virtual group exercise database and keep up to date with subscriptions
- Collets data and can present data to Area and Association Director or branch leadership when requested
- Record and approve payroll information in accordance with payroll schedule.
- Is able to communicate with supervisor regarding payroll procedures and deadlines
- Collects and stores data on equipment inventory.
- Sets up Constant Contact emails to staff and sets up department events and meetings.
- Assists with auditing branch websites and updating if needed
- High School Diploma
- Previous experience with multiple formats of group exercise class instruction
experience teaching multiple formats of group exercise - Computer skills are required; proficient in Microsoft Office tools, especially Excel, SharePoint, and OneNote
- Experience working in MINDBODY software
- Previous experience managing payroll
- Customer service experience required in working with customers and providing member and staff support
