You Will Be Responsible For:


The Grants Operations Program Manager is knowledgeable in the areas of state, federal, foundation and other research grant funding mechanisms including pre-award and post-award related functions. He/She will contribute to the development of the sponsored research program of the AdventHealth Research Institute. She/He is responsible for the coordination, workload and other program development and prioritization, data management and reporting, and completion of specific projects for the Grants team ensuring consistency with company strategy, commitments, and goals. She/He works directly with the Director, Sponsored Programs, the senior leadership team of Research Services, AdventHealth Research Institute (AHRI), AdventHealth Corporate, Institute Development Program Managers and external partners, when needed. She/He actively participates in outstanding customer service and accepts responsibility in maintaining relationships that are equally respectful to all.

Qualifications


What You Will Need:


EDUCATION AND EXPERIENCE REQUIRED:

  • Bachelor’s degree in healthcare, business, finance, accounting, or research-related field
  • Minimum five (5) years combined experience in administration of research, grants, and other sponsored programs
  • Experience working with budgets, including developing reports and presentation of financial information
  • Experience supervising the pre- and post-award process for sponsored programs (federal, state, local, industry, other non-profit, etc.)

EDUCATION AND EXPERIENCE PREFERRED:

  • Master’s degree in healthcare, business, finance, accounting, or research-related field
  • Established competency in biomedical research and the regulatory environment
  • Experience in reviewing, writing, editing, and negotiating research grant and contract agreements
  • Experience in grant and funding related financial audit

KNOWLEDGE AND SKILLS REQUIRED:


  • A thorough knowledge and understanding of state, federal, foundation and other grant and contract funding mechanisms, including related policies and procedures, submission process, management, compliance, and reporting.
  • A thorough knowledge and understanding of federal and state regulations, i.e., National Institutes of Health Grants Policy Statement (NIH GPS), Code of Federal Regulations (CFRs), Office of Management and Budget (OMB), as they relate to research administration.
  • Knowledge of grant submission and reporting portals such as ASSIST, Grants.gov, eRA Commons, FastLane, and/or different foundation grant sites, and grant forms such SF424, Public Health Services (PHS) forms, Research Performance Progress Report (RPPR), etc.
  • A thorough knowledge and understanding of research related grant and contract terms (e.g. human subjects, animal, biohazard, export control, intellectual property, etc.)
  • Responsive to ever-changing matrix of AdventHealth Research Institute needs and acts accordingly.

KNOWLEDGE AND SKILLS PREFERRED:

  • Knowledge and experience in a designated National Cancer Institute (NCI) and with Cancer Center Support Grants and related guidelines and reporting requirements.

Job Summary:


  • Facilitates the execution of research-related agreements and/or grant-related requests including but not limited to prior approval request, Just-in-time request, no-cost extensions, and closeouts. Serves as the liaison with the Institutes, Research Operations and AdventHealth Legal department to ensure research agreements are processed timely.
  • Preparation and review of research budgets to ensure compliance with applicable regulations, sponsor/funder terms and conditions, and institutional standards. Communicates study/award status to research departments on a regular basis and as requested.
  • Manages efforts and workflow to achieve department goals and objectives. Develops and implements innovative project management strategies to maximize efforts to clarify, centralize, collaborate, and disseminate information pertaining to grant related activities. Maintains awareness of project status and any potential delay, situation or concern that may affect the outcome of the project.
  • Provides critical insights and recommendations for project success to leadership through assessed results and learnings, both positive and negative. Communicates with leader on effective strategies to move stalled or difficult projects and implements these strategies as appropriate.
  • Manages implementation and maintains oversight responsibility for contract and grants management database. Ensures that grant team members are properly trained on data entry requirements of the system. Works with AHRI and AdventHealth Information Technology on needed reports from the systems. Makes recommendations on limited customizations needed that are specific to Research Services Grants workflow.
  • Understands metrics and reporting constructs to provide transparency and accurate timely information to stakeholders. Effectively monitors and reports on progress of grant projects to all stakeholders, including project contract and budget completion, reporting, and database implementation using appropriate tools.
  • Reviews federal and state regulations/statutes related to grants to provide subject matter expertise and monitor changes and assist with compliance to those changes. Monitors and manages National Cancer Institute (NCI) and with Cancer Center Support Grants and related guidelines and reporting requirements.
  • In collaboration with department leadership, manages the preparation, tracking, and updating of department workflow documents and manuals to ensure standardized and streamlined processes. Provides guidance and training to research colleagues to ensure adherence to department processes.
  • Orients, trains, and mentors new and junior staff.
  • Performs a wide range of assigned duties in support of total Department efficiency.
