Organization Summary The LA Conservation Corps (“the Corps”) is a private, non-profit organization that has helped at-risk young adults develop themselves since 1986. To date, more than 20,000 young people have participated in the Corps classes and service projects, learning new skills while contributing to the quality of life for residents of the greater Los Angeles area. Mission Position Summary The Los Angeles Conservation Corps’ Finance Grants Management team is responsible for managing all financial aspects of the Corps’ 140+ grant awards and contracts, including invoicing and the preparation of supporting documentation, receivables collections, grant budgeting, grant financial tracking and reporting, and grant fiscal compliance. Reporting to the Manager, Grants Billing & Fiscal Compliance, the Grants Data Specialist plays a crucial role in support of grant invoicing and fiscal compliance by handling document management and data research activities for the Finance Grants Management team. Qualified candidates must have a minimum of two years of experience in accounting, preferably in a non-profit environment. Other job-related duties may be assigned, as needed. Responsibilities Document management and Data Research Responsible for various document management and data research tasks related to the monthly production of invoices. Works collaboratively with other departments to capture missing support documents needed for billing transactions. Researches, compiles, and reconciles various supporting documents that are included in client invoices. Ensures invoice support documentation is accurate and reconciles to the GL expense and payroll schedules provided to the client. Assists with the monthly aggregation of documents and data from various systems in support of the monthly billing process. Collects financial and operational data for programs in support of grant close-out activity. Compiles documents for funder-based audits as needed. Ensures the appropriate documentation to support reimbursement of expenditures is accurate, collected, and stored on a timely basis in accordance with contract requirements. Supports grant invoicing and grant compliance activities by ensuring all required documents and reports are extracted and electronically stored promptly. Provides informational reports as requested. Billing Support Assists with fiscal compliance activities by supporting various requests for data from Sage Intacct. Assists with various accounts receivable activities to include, but not limited to, the data entry of online invoices and the update of invoice templates. Internal Controls Reviews and understands Corps processes and procedures to ensure internal controls are maintained, and to protect the organization against fraud.
