POSITION SUMMARY:
This position is responsible for efficiently checking patients in and out of the office to include scheduling, rescheduling and cancelations of all office appointments as needed. The front office staff will collect patient copays including balances owed, complete orders, remove flags and work assigned task buckets. This position is required to travel and rotate to any or all of Cardiac Solutions office locations.
ESSENTIAL JOB DUTIES:
- Open office and close office per office process.
- Review information in the registration screens with the patient and make sure patients update information on our electronic tablets prior to checking them in for their appointments.
- Communicate with the Billing Department regarding any changes in patient demographics or insurance and document in the additional tab of patient registration.
- Reconsolidate Patient Profile/HIPAA/PFP forms daily for the assigned daily location
- Scan in the following forms according to processes set in place: Medical Insurance Cards/ Referrals/ language consent forms/ Orders and get Patient Photos.
- Use electronic database to “Arrive” patients so that other departments know the patient has arrived for their scheduled appointment.
- Look up, complete and remove orders and clinical check out flags as appointments are scheduled. Forward flags to other departments, as necessary.
- Print testing instruction sheets and copays and review with patients.
- Print and review, Copay and General information sheets for new clinic patients
- Provide and review with patients the future appointment sheets and all appointment dates, type of appointment, time and location of appointment.
- Collect co-pays and/or balances and document patients financial and appointment notes accurately in the system.
- Sign out cash boxes at beginning of work shift with FO lead. Subtotal all monies received for the day. Balance individual cash drawers. Sign in cash boxes at the end of work shift with Lead. Settle Credit card machines daily.
- Activate patients in the portal, work assigned Physician in-process, individual wait list, individual flags, various reports, and any assigned daily tasks.
- Any other duties as assigned or requested.
KNOWLEDGE, SKILLS AND ABILITIES:
- Knowledge of Microsoft Office products
- Knowledge of HIPAA regulations
- Knowledge of medical insurances
- Skill in working with an EMR system, Centricity preferred
- Skill in the use of a Web Cam and credit card machine
- Ability to work in a fast paced-environment and work well under pressure
- Ability to diffuse and solve customer issues
- Ability to work with currency and make change
EDUCATION AND/OR EXPERIENCE:
- Minimum of two years medical front office experience
- Excellent computer skills
- Detail oriented.
- Excellent verbal and written communication skills.
- Excellent customer service skills.
- Medical terminology.
DRESS CODE/UNIFORM REQUIREMENTS:
This position is required to wear Cardiac Solutions approved uniform.
- No scrubs or uniform tees, other than Cardiac Solutions’ approved scrubs and tees are permissible.
- Cardiac Solutions’ name badges are always required to be clearly visible above waist height.
- Jeans or khakis may be worn on Fridays only, must be work with a Cardiac Solutions approved tee. Capris below the knee are permissible.
- Thong Flip Flops or any type of beach or pool shoes are not permissible at any time.
