HILGARTWILSON, a Civil Engineering firm, is seeking an experienced Front Desk Receptionist with administrative assistant responsibilities to become a part of our growing team.
Front Desk Receptionist Essential Duties
- Prepare lobby and conference rooms for business hours (appearance and stocking, activate phones)
- Professionally respond to all incoming calls
- Greet clients and other visitors and announce arrivals
- Coordinate with building management regarding concerns, repairs, and maintenance
- Coordinate food orders for client and employee meetings
- General office and breakroom housekeeping (keep organized and tidy)
- Order office supplies
- Contribute to team effort by accomplishing related results as needed
Coordinator Support Essential Duties
- Scan, including saving documents to appropriate folders
- Manage courier pickup and delivery
- Fold, roll, print, and staple large plan sets
- Bind reports
- Assemble submittals
- File both hard and electronic files
- Gather and sort documents and information
- Complete documents by entering/typing data from source materials
- Revise documents by entering/typing information
- Verify documents by proofreading and checking requirements
Qualifications
- 2+ years in a receptionist (with administrative responsibilities) role in a fast-paced, professional office environment
- Strong communication and interpersonal skills (via phone, e-mail, and in-person)
- Excellent organizational skills with an ability to think proactively and prioritize work
- Knowledge in Microsoft Word, Excel, Outlook, and Adobe Acrobat
- Reliable transportation and clean driving record required

Hours
Monday-Friday 8:00am-5:00pm
