Job Title: Front Desk Intern Department: SGBR, Front Office Reports To: Senior Front Office Manager FLSA Status: Non-Exempt Position Summary The Front Desk Internship is available to students who are currently enrolled in an accredited degree program related to the Hospitality Industry. The internship will be an extensive Front Desk training program, during which the student will learn the various policies, procedures and systems to help prepare them for a role in Front Office Operations. Essential Duties and Responsibilities 1. Assist in the daily functions of the Front Desk and assure that all services meet the standards set by the resort. This may include, Guest registration and room assignments, accommodating special requests whenever possible. 2. Possess a thorough knowledge of resort, rates, packages and discounts - how to handle them and how they relate to other departments. 3. Possess a thorough knowledge of resort credit and check cashing policies and procedures and adhere to them. 4. Develop a proficient knowledge of unit locations, types, outlets, hours of operation and staff. 5. Notify housekeeping of late check-outs, early departures, special requests, and early check-ins. 6. Develop a working knowledge of the reservations department; accept same day and future reservations when necessary. 7. Know cancellation procedure, as well as guest check-out and special handling procedures. 8. File and post charges and credits to master and city ledger accounts. 9. Read and initial pass-on log, real bulletin boards daily for updated information. 10. Report any unusual occurrences and/or requests to management. 11. Answer phone by third ring using proper etiquette and modulations. 12. Keep the desk clean and neat using spare time and in proper uniform. 13. Maintain neat personal appearance in the public areas of the resort. 14. Use a favorable, attentive, and positive approach to all guests so that they get the best impression of the resort and its staff. 15. Be aware and utilize all safety procedures and caution on the job. 16. Other duties as assigned. Education and Experience Requirements The Front Office Internship requires that candidates be currently enrolled in an accredited degree program related to the Hospitality Industry. Prefer some hospitality experience, multi-line phone system, SMS property management program system. Language Skills Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. Mathematical Skills Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Reasoning Ability Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Availability Sandestin Golf and Beach Resort is open and operational 24 hours a day, seven days a week. Employees are required to be available to work: days, nights, weekends, and holidays. License Requirements Valid driver’s license that has been in effect for at least three years, with no major violations and no more than two minor violations in the past three years. Language Skills Must be able to speak, read, write, and comprehend the English language.
