Elite Sports Medicine + Orthopedics is looking for a highly professional and highly efficient Executive Assistant. The Executive Assistant will organize and manage various tasks to clear the path for the CEO of Elite Sports Medicine + Orthopedics.

MINIMUM ESSENTIAL JOB REQUIREMENTS

  • Calendar Management & Ownership
  • Ensure CEO runs on time
  • Send reminders for meetings
  • Schedule and reschedule meetings
  • Meeting Coordination
  • Schedule meetings
  • Set up A/V equipment
  • Coordinate meals
  • Prepare PowerPoint and meeting materials
  • Format meeting notes (after meeting)
  • Meeting Preparation & Follow Up
  • Allot sufficient preparation time in-advance of all meetings
  • Make relevant notes available in-advance of all meetings
  • Ensure notes are documented and filed accurately and promptly
  • Task & Project Support
  • Ninety EOS software support
  • Project and task support, as directed and requested
  • Administrative tasks
  • Receipt documentation
  • Personal mail and delivery
  • Personal Assisting
  • Coordinate and schedule travel plans
  • Make purchases as directed
  • Coordinate personal meals
  • Procure office supplies
  • Schedule personal appointments
  • Other responsibilities include but are not limited to:
  • Stock conference room, doctor’s and pod refrigerators, and coffee bar in doctors’ area daily or more frequently as needed
  • Post physical schedules for conference rooms daily
  • Monitor Shared Spaces Inbox
  • Check Administration fax folder
  • Create and maintain Executive Assistant Playbook

Qualifications
KNOWLEDGE, SKILL AND COMPETENCY REQUIREMENTS

  • Four-year college degree preferred
  • 3-5 years’ experience as an Executive Assistant preferred, healthcare experience a plus
  • Ability to maintain confidentiality of records and information
  • Superior organizational skills
  • Exhibit superior communication skills (verbal and written), including excellent and timely follow up across a variety of key contributors, including physicians and other professionals and leaders
  • Word processing and data entry skills, particularly superior attention to detail
  • Ability to prioritize tasks and manage time with a sense of urgency
  • Proactive approach to problem solving and the requirements of the position
  • Ability to meet tight deadlines and multitask
  • Adherence to all company policies and procedures
