The Humane Society of the United States (HSUS), the nation’s most effective animal protection organization, is seeking an Executive Assistant for the Chief Executive Officer (CEO) and Chief Development Marketing Officer (CDMO). In this position you will provide confidential high-level support and assistance to the CEO and CDMO in a manner that ensures the effective use of time and productive interactions with staff and the public. Manages all aspects of the executive’s complex meeting schedule. Handles a wide range of administrative and executive support-related tasks including travel arrangements, expense reports, time tracking, written correspondence and all sensitive internal/external confidential communication or other messaging on behalf of the executive, using proper judgment and discretion.
You will be responsible for:
- Managing a complex and fluid schedule of appointments and meetings for the CEO and CDMO, exercising discretion regarding workflow, priorities and competing demands;
- Anticipating and proactively addressing the needs of the CEO and CDMO, handling complex situations and multiple responsibilities simultaneously. Interpreting requests, helping to implement action. Managing short and long-term projects with the ability to shift to immediate demands as necessary;
- General administrative duties including compiling and processing expense reports accurately and timely, making travel arrangements, providing follow-up on items requiring further attention, researching issues and gathering data/information as directed, composing routine correspondence and maintaining department files for reference and quick retrieval. This position is often called upon to proof Officer documents;
- Providing research support and preparing background information for meetings and interactions with internal and external parties as well as special projects;
- Tracking and submitting weekly timesheets for the CEO and CDMO; Approving timesheets and time off requests for their direct reports;
- CEO: sending Quarterly Report on Outcomes for Animals to the CEO’s personalized distribution list (750 recipients), the HSUS Board of Directors, the HSI Board of Directors and the CEO’s Leadership Council. Collecting lobbying reporting information, ensuring accuracy and timeliness in reporting activity to the Manager, Lobbying Reporting and Accounting.
Qualifications and Requirements:
- High school diploma or equivalent work experience required. Bachelor’s Degree preferred;
- A minimum of five (7) years of executive-level, administrative support experience required;
- Must understand the sensitive nature of working in the executive offices and have excellent judgement, to maintain the highest levels of confidentiality and integrity;
- Proficiency of Microsoft Suite (Word, PowerPoint, Excel, Outlook);
- Ability to multitask and be flexible with regard to workload and assignments;
- Ability to anticipate issues and or needs and proactively suggest solutions;
- Strong written and verbal communication skills;
- Attention to detail and commitment to excellence demonstrated by the delivery of quality and timely outcomes;
- Strong interpersonal skills are necessary;
- Strong interest in animal protection issues preferred.
