Position Title: Executive Assistant

Department: Administration

Supervisor’s Title: Chief Executive Officer (CEO)

I. Position Summary: This dynamic position requires a self-driven, experienced administrative professional who primarily assists the CEO. The Executive Assistant is an integral part of the executive team who supports all facets of the department and leads various organizational events and projects. The Executive Assistant uses up-to-date software, tools, and techniques to manage schedules and executive and board-level meetings, including preparation, documentation, and follow-up as needed.

II. Principal Functions and Responsibilities:

A. Prepare meeting packets and agendas for Board and committee meetings.

B. Attend Board and Committee meetings and record accurate meeting minutes and action items. Attend other meetings as requested and record minutes.

C. Maintain comprehensive and accurate corporate board records, documents, and reports.

D. Provide general office and administrative support for CEO and other assigned executives.

E. Manage calendar for CEO and other assigned executives, including scheduling appointments and prioritizing urgent matters.

F. Provide customer service for the administrative office, answer telephones, take messages, assist board members, physicians, patients, customers, vendors, and staff.

G. Draft correspondence and initiate documents, as appropriate.

H. Prepare and submit monthly expense reports for corporate business cards on behalf of executives.

I. Maintain a positive and effective representation of executives and organization in relations with co-workers, other departments, patients, and visitors.

J. Maintain confidentiality of Valor Health information which also includes patient information.

K. Assist with planning and implementation of internal organizational events.

L. Perform other duties as assigned.

III. Position Qualifications/Requirement:

A. Minimum Education, Experience and Skills:

  • Associates Degree and 4+ years related administrative experience or 5+ years’ experience working directly with c-suite executives.
  • Excellent verbal and written communication skills.
  • Time management and deadline driven.
  • Strong organizational skills and ability to multi-task.
  • Problem solving and decision-making skills.
  • Ability to work effectively with minimal supervision.
  • Strong interpersonal skills.
  • Exceptional attention to detail.
  • Ability to treat confidential information with appropriate discretion.
  • Skilled in the use of standard office equipment.
  • Experience with Microsoft Office Suite and Adobe Pro.

B. Desired Education, Experience, and Skills:

  • Bachelor’s degree in related field.
  • Prior experience working with a Board of Trustees or Board of Directors.
  • Demonstrated ability to prepare agendas and record accurate meeting minutes.
  • Healthcare experience a plus!

C. Physical Requirement: Employee must be able to sit or stand for long periods of time and lift up to 25lbs.

D. Certification, Registration or Licensure: none

E. Working Conditions: Primarily office environment, possible exposure to patient care areas.
