We are looking for someone to support our newly formed investment bank. This position would suppor the to the Head Sales and Trading and provide support to that team. Responsibilities:

  • Manage calendar for designated officers, including meetings, travel, professional commitments, and related preparation
  • Expense report and Salesforce entry and reporting
  • Coordinating and managing special projects as needed
  • Assist with both budget and project management
  • Build relationships and facilitate communication with all necessary areas of the bank
  • Plan and manage events and meetings
  • Draft correspondence and presentation materials
  • Support and assist with extensive documentation flow among designated officers
  • Research and resolve client issues, if needed
  • Review and process invoices and expenses
  • Maintain appropriate records, files and documentation
  • Order and maintain supplies
  • Provide backup to other team members as needed
  • Provide phone coverage for executives and main phone line
Qualifications:
  • Minimum of 5 years executive-level administrative experience or related experience; Bachelor’s degree preferred
  • Previous Banking experience preferred (Mortgage or paralegal experience a plus)
  • Exceptional calendar and time management skills
  • Prior experience planning events, meetings and conferences
  • Proven ability to develop relationships with employees, clients, business partners and their assistants
  • Demonstrated ability to communicate effectively and professionally – both verbally and written
  • Ability to attend events and work on projects after hours, as needed
  • Well organized and detail oriented to handle diverse and concurrent assignments
  • Ability to excel in a fast paced environment
  • Must exhibit a high degree of discretion and confidentiality
  • Proficiency in the use of Microsoft Office including Outlook, Word, PowerPoint and Excel
  • Experience with Salesforce preferred
