RefrigiWear is searching for an experienced and professional Executive Assistant. The Executive Assistant will provide advanced administrative support to the CEO. PRINCIPLE DUTIES
- Maintain calendar by planning and scheduling meetings, conferences, calls, and reminders
- Read, organize, and summarize weekly reports and other data for executive's consumption
- Act as a liaison and coordinate projects with other departments
- Be able to attend meetings, take notes and execute the follow up
- Prepare reports and materials for travel, customer visits, month end and various sales scenarios
- Provide personal support including errands, lunches, phone calls, scheduling and reservations
- Prioritize workload for manager, maintaining focus on the best use of executive's time
- Anticipate what the executive needs to complete and provide needed materials
- Draft, proofread and edit letters, emails and documents
- Prepare for and manage events/meetings for Board of Directors, visitors, customers, and sales team
- Handle incoming and outgoing communications on executive's behalf including phone calls, emails, and letters
- Analyze data and identify solutions
- Create spreadsheets and presentations
- Research customers, distributors, and competitors
- Complete and update expense reports
- Act as a sounding board and be able to give feedback on manager's ideas and thoughts
- Must be willing to be accessible outside of business hours, as needed with executive's schedule due to travel and other circumstances
SKILLS & QUALIFICATIONS
- 7-10 years of executive assistant experience
- Bachelor's Degree preferred, or equivalent experience
- Advanced Microsoft Office skills - Word, PowerPoint, Excel, and Outlook
- Adobe Creative Suite skills a plus - InDesign, Illustrator and Photoshop
- Perform duties with a high level of confidentiality, diplomacy, discretion, and professionalism
- Be able to evaluate and select among alternative courses of action quickly and accurately
- Experience coordinating complex domestic and international travel
- Have the ability to integrate seamlessly into communication flows, and a balanced blend of accountability, humility, and authority
- Must have the capacity to build trust with diverse individuals
- Excellent written and verbal communication
- Must be very detail orientated
- Excellent time management, organizational, problem solving and analytical skills
- Ability to work independently and without direction from executive
