    UW Medicine’s Information Technology Services (ITS) department is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM) and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all of these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.

    In collaboration with UW Medicine IT Services (‘ITS’) and under the general guidance of the Clinical Foundation Application Manager, the primary focus of the Epic Facilities Applications Analyst is to closely collaborate with other applications team members, internal UW Medicine customers and external vendors, to provide a service oriented, cross-functional, knowledgeable, single point of technical leadership for application tools and workflows. This position holds the primary expertise and responsibility for assisting with design, development, system configuration, implementation, and support of new Epic departments, department restructures, and large enterprise initiatives across the Ambulatory, HOD, and IP contexts. The Epic Facilities Applications Analyst 2 acts as a point of contact for clinical end users to facilitate the adoption and integration of the electronic health record into practice and workflows. Participates in go-live education and training activities. Translates department requirements into business functional requirements. Identify problems and learn specific input and output requirements such as forms of data input, how data is to be summarized, and formats for reports. Recommend alternative procedures for improvement of workflow, either manual or automated.

    Responsibilities include:
    Proactive System Monitoring, Troubleshooting, and Maintenance (20%)
  • Possess a current understanding of all aspects of the respective service line(s) and application catalog(s) in order to analyze, design, build/configure, validate, and implement system solutions, as well as provide ongoing maintenance and user support.
  • Understand practitioner practice methods, clinical operations processes and patient interactions within the healthcare delivery system, and how Epic functionality supports these processes. Develop and document current and future state application workflows.
  • Work with clinical subject matter experts (SME) to analyze, design and document requirements for system upgrades and enhancements, and workflow changes that support clinical operations. Translate customer requirements into technical specifications. Maintain ITS application standards and identify technical solutions that are repeatable, sustainable and reliable for long-term system use and maintenance.
  • Leverage best practices and documentation provided by Epic through its Epic UserWeb and Community Library.

  • Customer Relationships and Requirements (20%)
  • Act as an Epic-certified resource to UW Medicine staff by anticipating and identifying educational, procedural, and functional problems associated with the implementation of new applications.
  • Develop and retain strong positive relationships with constituents, engaging to ensure a thorough understanding of their objectives and requirements.
  • Meet with customers to identify and understand system requirements and escalate issues.
  • Set appropriate expectations of customer requirement fulfillment.
  • Define and facilitate customer acceptance of workflows (manual as well as automated), user interfaces, and reporting specifications.

  • Project and Process Management (20%)
  • Assist in resolution of application and process problems.
  • Perform analysis and troubleshooting for complex application issues to meet established Service Level Agreements.
  • Responsible for the successful completion of project tasks as scheduled.
  • Lead project sub-components that may include cross-functional teams.

  • Application Testing (10%)
  • Test all scenarios conforming to quality standards at the component/feature level, including:
    • Test system changes and assist with development of test plans for usability, performance, and adherence to standards.
    • Execute, track, and report detailed results of application and system testing.
    • Create and maintain application test scripts.

  • Documentation and Reporting (5%)
  • Document customer requirements/technical specifications for Epic clinical applications.
  • Document current and proposed data flows, both within Epic and as Epic interacts with other systems and interfaces.
  • Document system changes in accordance with organizational change control procedures.

  • Other Duties (5%)
  • Support training and education program as needed.
  • Assist with development of security and confidentiality system standards for applications to meet federal, state, CMS, and JCAHO regulations.
  • Work with manager to set professional goals for career development.

  • What you’ll bring to the table: (minimum requirements)
  • Bachelor’s Degree in Computer Science, Health Information Systems, Math, Information Technology, Business Administration, or related field. (Equivalent experience can substitute for degree requirement.)
  • 2+ years recent healthcare or IT experience, including:
    • Holds current version Epic Application Certification (or equivalent experience with other EHR systems) PLUS 1 year of professional work experience performing system design, writing specifications, configuring, and/or implementing Epic/ EHR systems in one of the following Epic clinical applications modules: EpicCare Inpatient Clin Doc; EpicCare Inpatient Orders; or EpicCare Ambulatory (or similar).
    • 1+ years providing Epic (or similar EHR experience) application maintenance/support.
    • 1+ year experience with application/system configuration and implementation of clinical information systems (and/or healthcare applications).
    • Strong customer-oriented mindset, with experience building relationships, setting expectations, and collaborating across groups to ensure customers receive top quality service.
    • Experience participating in defining customer requirements, translating them into design specifications.
    • Experience assisting team members and sharing knowledge, with exposure to mentoring others.
    • Experience walking clients through the use of systems, preferably in a healthcare environment.

  • This is an Information Technology deadline-driven work environment.
  • The individual in this position is expected to work normal daytime hours. The majority of work is performed during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
    This position includes on-call support during evenings and weekends, on a rotating schedule with team members.
  • Because of the physically separated sites for UW Medicine, this position requires the ability to travel to alternative work locations as needed.
  • Must coordinate projects without direct supervisory authority.
  • Must work within the constraints of multiple technical environments.
  • ITS provides services to all UW Medicine organizations – HMC, UWMC-Montlake, UWMC-NW, UWNC, UWP, SOM, and ALNW. The individual in this position must learn many organizational structures and cultures and continually foster collaboration.
