Position Summary

Under the general direction and supervision of the Chief Operations Officer (COO), this position is responsible for the administration, and management of the organization’s electronic health/medical record (EHR/EMR) systems and other internal technology applications, including training staff to use the EMR and other technology, providing technical support to staff, and health informatics. This position is suitable for an individual with a clinical or non-clinical background in addition to data and healthcare informatics and systems management experience.

Position Requirements

Education: Degree in Health Informatics, Computer Sciences, or related field is required; Associate or bachelor’s degree in nursing, or other medical related field is preferred; educational equivalent and/or training will be considered with 2-5 years of relevant experience in a related position

Experience: One-year prior experience in use of EMR and working with clinical staff to document patient care, providing support, guidance, and training in proper EMR usage; experience working with data analytics in a healthcare environment preferred; experience with Epic Clarity Data Tables, Crystal Reports, SAP Business Objects, and AZARA DRVS preferred

Job Duties and Responsibilities

EMR and Systems Support Specialist Duties:

  • Provides basic level of IT support on all systems, i.e., password resets, account unlocks, email setup etc.
  • Serves as liaison between IT and Clinical departments to assist in EMR design, development, and training
  • Interface troubleshooting
  • Part of the team that plans and implements ongoing training for established and new employees including, but not limited to, training on new EMR modules, programs, or projects; this includes determining the types of training required for each position as it relates to EMR
  • Troubleshoots software problems encountered by clinical teams and other personnel and collaborates with IT on persistent issues
  • Maintains an EMR workflow manual for SWMTCHC by working with representatives from related departments such as Operations Management, Billing, and Medical Records
  • Determines which clinical functions are suitable for computer application and continually monitors and evaluates opportunities for additional technological enhancements
  • Develops a plan to monitor and evaluate EMR users in order to determine the training needs of staff
  • Attends meetings and conferences related to EMR and other systems
  • Performs other duties as assigned

Essential Functions, Roles, and Responsibilities

  • Exhibits teamwork qualities with other employees
  • Analyzes workflow to identify best practices for software use and creates documentation for standardizing workflow and training
  • Writes and updates training materials and procedures
  • Trains end-users in the use of health information technologies including EMR and other systems
  • Analyzes ongoing training needs and provides refresher training where appropriate to help staff improve quality
  • Answers user inquiries and resolves problems related to software operation
  • Tests, debugs, documents, and implements new or upgraded applications or health information technology software
  • Creates and runs reports to analyze quality indicators for internal and external compliance
  • Provides feedback on data for quality improvement
  • Coordinates, trains, and supports provider use of EMR (behavioral health, medical, and dental), including working with vendors to address and resolve problems
  • Integrates and collaboratively works with other staff and areas of SWMTCHC’s operation
  • Participates in meetings, including continuous quality improvement
  • Complies with SWMTCHC’s policies and procedures
  • Remains current with standards of primary health care practices
  • Willing to travel to satellite sites for training and support services

Physical Demands/Working Conditions:

General office/clinic conditions are pleasant; good, clean working conditions where accident and hazards are negligible; requires short periods of moderate lifting, pushing or pulling objects up to twenty pounds. Work will require periods of sitting, standing, walking, bending or stooping. Clear diction and acute hearing are necessary for effective communication with the staff and public.

Work is normally conducted at the Butte clinic during business hours although, some positions may require occasional call work or variations to schedule or travel to other locations based on the needs of the clinic.
