SCOPE OF ROLE:
The Support Services functions at S:US are carried out by a team of professionals with different skills, backgrounds and expertise who share deeply in the S:US mission. Human Resources is considered a part of the Support Services function. The Human Resources Department provides resources and support to the various programs/departments to collectively pursue the organization’s mission and ensure that all employees have a great employee experience. Our mission is to treat all staff with mutual respect at all times.
In this newly-created role, the Manager of Compliance and Onboarding will have accountability to ensure a successful candidate experience and handoff from new employee to program. This candidate will ensure that the required compliance and onboarding standards are achieved for all new employees as well as those transferring within the organization to new roles. The Manager of Compliance & Onboarding will support S:US’ Internship Program by building linkages, processing applications, communicating to participants, coordinating day-to-day logistics, and achieve hiring managers involvement and commitment. This candidate will oversee the management of all employee HR records as well as lead and coordinate all requests for HR records made by auditors and surveyors. The selected candidate will serve as a super-user for our HRIS systems: Kronos/UKG/Docuware, and manage all ad hoc reports requested by the HR leadership.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Management - Manage the Compliance and Onboarding team to ensure a streamlined process all elements comprised under this unit.
- Organize, lead and control the day-to-day operations of the unit to ensure staff adherence to all compliance and onboarding related matters
- Build a strong partnership with the QA Department to ensure that organizational protocols are consistently adhered to.
- Develop and provide employee training to the HR team on compliance policies, practices, and reporting systems.
HR Compliance - Review the Justice Center database for new arrests and partner with HRBP’s to prepare safety assessments and take appropriate action.
- Respond to MHL 153 requests
- Prepare deletions in CHITS once the HR Actions for separations have been processed
- Manage External reporting of OMIG audits on a monthly basis.
- Run monthly reports for upcoming employee licenses and partner with HRBP to ensure staff remain compliant with their renewals.
- Maintain organized records of all compliance activities.
- Communicate with government agencies as it becomes necessary (e.g. Justice Center, OPWDD, OMIG, etc.).
- Manage record keeping of all compliance reports.
Surveys & Audits - Serves as the point of contact for all requests made by auditors from governing bodies and funders.
- Facilitates the retrieval, review and transmittal of all survey documents in a confidential manner
- Track and respond to all surveys and audits.
Onboarding - Oversees the full cycle of new hire employee onboarding
- Submits names of candidates for New Hire Orientation to the Training Department
- Manges the review of new hire temp employee files
- Manages the process for archiving personnel records of all terminations and resignations.
- Coordinates with the Talent Acquisition and WFMS teams to ensure that all new hires, rehires and contingent workers entries are inputted in UKG.
Internship Program Support - Creates and schedules programming for Internship and Externship programs
- Builds relationships with a network of universities and their career services offices
- Prepares presentations, videos and other marketing materials to introduce our organization’s employer brandand job opportunities.
- Attends and facilitates hiring events, virtual recruiting events or employer information sessions.
- Promotes S:US’ employee value preposition to students’ including its culture, pay and benefits, career paths and development, corporate citizenship, sustainability, and more.
- Moves internship candidates through interviewing, assessment, offer and onboarding processes.
HRIS: - Run adHoc UKG reports as needed by the HR Team/Leadership.

- Compliance - Knowledge of procedures for assessing, evaluating, and monitoring programs or projects for compliance with all regulatory agencies, including OPWDD, OASAS, OMH, SEL, DHS etc.

Qualifications: REQUIRED EDUCATION AND EXPERIENCE:
A Bachelor’s degree in Human Resources Management, Organizational Psychology or related field preferred - At least two years of experience as an HR Generalist
- Understanding of HR policies and best practices
- Familiarity with HR databases, applicant tracking systems such as iCIMS, and candidate management systems
- Must have intermediate-level skills in Microsoft Suites, particularly Microsoft Excel.
