PLEASE NOTE: Submit application at this link: https://form.jotform.com/arlingtoncf/dataspecialist POSITION DESCRIPTION The Development & Data Specialist is responsible for the Foundation’s data management and provides support to its development efforts. The goal is to ensure data integrity, maximize the use of our data to drive results, and provide seamless customer service to internal and external constituents. MAJOR RESPONSIBILITIES Data Management and Integration o Maintain accurate constituent records in the Foundant database in order to support moves management, reporting and integration with our communications system. Analysis and Reporting o Create reports and queries within the Foundant database for board, staff and external audiences as needed. Gift Entry and Acknowledgment Processing o Record all contributions to Foundation funds in the Foundant database and generate timely and accurate donor acknowledgment letters in coordination with the Office Administrator. General Development Support o Support the Director of Philanthropy in the planning, implementation and completion of development-related projects, proposals, and mailings. PREFERRED QUALIFICATIONS o Minimum of 3 years of related work experience required. Direct nonprofit development and data base administration experience preferred. TIME REQUIREMENT This is a full-time, exempt position requiring 37.5 hours per week plus occasional early and late hours for meetings onsite and offsite. Work hours are 9:00 a.m. to 5:00 p.m. with flexibility and work-from-home options. o Train staff as needed in the proper use of the database, including updating procedures to guide data entry and maintenance to ensure accuracy and reporting capabilities.
o Serve as point of contact for staff with data questions or needs.
o Analyze data to support metrics reporting to organization leadership.
o Manage communication preferences for constituents and produce query-based lists for all external communications.
o Work proactively and responsively with each department to identify ways the database can be used to inform current and future work, and capture historical context.
o Identify and capture pertinent information during gift entry process, updating records within the database to preserve data integrity, reflect donor preferences and ensure the confidentiality of gift and constituent records.
o Provides logistical support for the Foundation’s annual Spirit of Community event.
o Act as administrative liaison to the Foundation’s board of trustees.
o Deep interest in and commitment to philanthropy and the work of the Community Foundation, with a demonstrated commitment to the Arlington community, its people and their concerns.
o Computer proficiency including knowledge of Microsoft Office, CRM software (familiarity with Foundant preferred) and a willingness to learn all appropriate Community Foundation software.
o Strong analytical skills with an ability to organize and prioritize work and manage multiple priorities simultaneously.
o Superior attention to detail.
o Ability to work independently, take initiative, participate as an effective team member and follow tasks through to completion.
o Superior customer service skills to external and internal constituents. Excellent listening skills, follow through and problem-solving abilities.
o Proficiency in database administration and logic, prospect and constituent management, data imports and exports, developing reports.
While time in the office is required for this role, it's a "hybrid" position with flexibility to work from home on certain days.
