The Department Secretary for Community Life provides clerical and administrative support to the Community Life Office by performing the following duties:Essential Duties and Responsibilities ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. 1. Serve as receptionist of the Community Life office by receiving visitors, answering and screening telephone calls, and providing information and materials. 2. Maintain general office organization and appearance. 3. Manage office equipment, schedule equipment maintenance, and recommend equipment purchases. 4. Maintain stock of office supplies. 5. Maintain a comprehensive master calendar of all events planned by the Community Life Office. 6. Prepare and process incoming/outgoing mail for the department. 7. Compile budget information, process requisitions, and summary sheets as needed. 8. Serve as the department’s primary liaison with Conferences and Events, Provider Food Service, Information Technologies, CBU Facilities, CBU Post and the Copy Center. 9. Organize and maintain the Community Life Office file system. 10. Compose and prepare confidential correspondence, reports and other complex documents. 11. Create and maintain databases and spreadsheet files for the Community Life Office. 12. Provide support in the management of all university student clubs and organizations. 13. Assist in the recruitment, employment, training, supervision, and evaluation of Community Life student coordinators and lounge staff. 14. Assist in planning and implementation of new student orientation programs.Supervisory Responsibilities This position could be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.Other Knowledge Skills and AbilitiesTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily. § Ability to communicate a growing and dynamic Christian faith, which is naturally communicated through words and actions. § Skill in the use of personal computers and related software applications. § A thorough knowledge of: Business English and arithmetic; general office methods, procedures and practices. § Ability to plan, develop, and coordinate multiple projects. § Ability to read and write at a level appropriate to the duties of the position. § Ability to use independent judgment and to manage and impart confidential information. § Ability to gather data, compile information and prepare reports. § Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body. § Strong organizational skills and detailed oriented. § Ability to maintain confidentiality. § Ability to coordinate and organize meetings and/or special events. § Ability to create, compose, and edit written materials. § Ability to develop and maintain recordkeeping systems and procedures.Education and/or ExperienceAssociates degree (A.A.) or equivalent from a two-year college or technical school; six months to one-year related experience and/or training; or equivalent combination of education and experience.
