Description:Vertis Therapy is growing again and we are looking for a detail oriented Department Coordinator to help manage our therapy departments at two of our Indianapolis Assisted Livings. Ideal candidates should have administrative assistant experience in healthcare along with computer skills and training in insurance verifications. This is a full time salaried position with benefits.
Primary Job Function
The Department Coordinators primary responsibility is for leadership of the therapy team including management of the day-to-day operations of the therapy department, the supervision of therapy staff, and the coordination of RUG management. The Department Coordinator exhibits high performance in Vertis core values, leadership, team development, customer service, and department operations. The department coordinator works closely with the Regional Manager to ensure that Vertis standards are maintained and that available resources are well utilized.
Primary Responsibilities
- Ensures that rehabilitation services are provided in compliance with Vertis and facility policies and procedures; State, Federal, and professional organization regulatory standards and guidelines.
- Coordinates resident screening (PT/OT/SLP) programs.
- Serves as advocate for meeting the rehabilitation needs of residents.
- Coordinates attendance at care plan and departmental meetings.
- Acts as a liaison between therapy department, administrator, and nursing staff.
- Ensures accurate and timely month-end billing.
- Coordinates therapist schedules and arranges prn staffing as needed.
- Communicates PT/OT/SLP schedules and changes to administration and nursing staff.
- Coordinates the execution of the Restorative Program with nursing staff and therapy department.
- Prepares the Rehab Department for a deficiency free State Survey.
- Completes Vertis guide to survey twice annually.
- Trains staff in Vertis and facility policies and procedures.
- Assists in identifying therapy needs of resident population.
- Effectively communicates pertinent information from Vertis management and facility management to therapy team.
- Assists Regional Manager in Performance Reviews, applicant interview process, and disciplinary actions.
- Assists Regional Manager in the orientation of new employees and contract therapists.
- Coordinates scheduling with the nursing staff
- Answers phones and handles customers in a professional and courteous manner.
- Facilitates the orderly and efficient provision of patient care.
- Maintains awareness of change in patient census and programs.
- Follows established procedures pertaining to the care of equipment and supplies including completion of cleaning logs.
- Supports team development by encouraging individual growth, recognizing accomplishments, and providing a positive work environment.
- Performs other duties as assigned by Regional Manager.
- Analyzes team productivity levels and facilitates achievement of company expectations.
- Assists Regional Manager in analyzing key monthly operational data to achieve company success.
- Ensures that adequate office supplies for treatments are maintained.
- Completing forms and records, making copies, filing forms, obtaining necessary signatures and maintaining orderly and accurate patient records including completion of documentation checklists.
- Ensures month end billing reconciliation procedures and completion of the monthly billing audit tools.
- Runs and analyzes reports on a daily, weekly, and monthly basis to assist in department operations, compliance, and patient management procedures and communicates information to appropriate individuals.
- Complies and organizes patient medical records for ADR or denials management purposes.
- Completes orientation process for new hires with direct oversight of regional manager.
- Provides oversight for departmental compliance related to TB tracking.
- Attends departmental or facility meetings.
. Requirements:- Minimum one (1) year experience in rehabilitation setting serving the same age/type of patient population served by this facility.
