The Opportunity:

The Creative Operations Manager will be responsible for managing the operational and administrative inner-workings of the creative department. A successful Operations Manager will bridge communication and efficient work processes between Project Management, Creative, and Account Service teams.


You’ll be the key to streamlining internal creative and production operations across the agency, ensuring creative teams are leveraging tools and processes correctly, communicating status regularly, and addressing allocation and budget issues in a timely manner.


This person will work within the Creative department while reporting to the Chief Creative Officer.


Responsibilities:


Resource Assignment

  • Act as point of contact for resource availability, prioritization, and allocation within the Creative Department
  • Understand skill set needs and match resources to best fit client and business goals
  • Manage the master creative department schedule, including employee PTO schedules, to ensure work coverage and sustainable bandwidth
  • Serve as gatekeeper for individual resources to ensure schedules are not under-booked, resulting in low utilization, or overbooked resulting in burn out
  • Facilitate communication between project and discipline leads
  • Run weekly resource meetings and facilitate capacity issues/conflict resolution with teams and appropriate department heads
  • Track timelines and scope
  • Maintain constant knowledge of current and upcoming projects and new business activities

Freelance Resource Management

  • Accurately determine when freelance assistance is necessary.
  • Help to organize and build out a broad network of new and existing freelance resources
  • Finalize all freelance hires, negotiating all rates in alignment with client budgets, finance and senior leadership
  • Act as first point of contact with freelancers, ensuring that they are set up correctly and have the necessary tools and understanding of the assignment
  • Handle all freelance communication, paperwork, and processing
  • Verify and oversee the processing of freelance timesheets and invoices
  • Evaluate freelance performance, taking input from team members to ensure all freelancers are meeting or exceeding role standards
  • Notifies appropriate parties when a freelance assignment is ending and assists in
    off-boarding

Skillset:

  • Minimum 5-7 years of operations and resource management experience ideally in a fast-paced, communications, marketing or advertising agency
  • Must have creative project and production management experience
  • Excellent communication and interpersonal skills to work with a variety of personalities across multiple departments
  • Highly collaborative and resourceful. Be able to work independently as well as in a team-oriented, deadline-driven environment
  • Ability to manage multiple tasks with confidence
  • Ability to be diplomatic and firm when necessary in order to obtain results
  • Experience with workflow/project management software (NetSuite experience, a plus)
