The Third Judicial District is accepting applications for a customer focused Court Operations Associate to join the Dodge County Court Administration team.

This is a fast paced, detail orientated position serving the public, judges, and justice partners by providing exceptional customer service and performing advanced court clerical, administrative and technical work. This requires the application of specialized knowledge of procedures, records and regulations in Dodge County District Court Administration. Work involves responsibility for court case processing and is performed independently in accordance with established laws, standard practices, regulations, policies and procedures, and requires independent judgment in interpreting these as it relates to day-to-day activities.

This position is an AFSCME represented position and classified as a Senior Court Clerk within the Minnesota Judicial Branch job classification system.

The Dodge County Courthouse is located at 22 East 6th Street, Mantorville, MN 55955.

Example of Duties

The following are examples of major job duties expected for this position to perform:
  • Provide high quality customer service in person, on the phone, and over email by identifying customer needs and responding to questions and inquiries from members of the public, attorneys, and justice partners in accordance with current policies and data privacy regulations.
  • Independently perform the full scope of varied clerical court work relating to case processing on the Minnesota Court Information System (MNCIS), Microsoft Office, Electronic File and Serve, SharePoint and other related computer systems.
  • Review legal documents for completeness, adequacy, accuracy and compliance with rules and statutes; determine processing required and take necessary action in accordance with applicable court rules and business practices, or refer highly complex or unusual matters to a court clerk leadworker or Court Administrator.
  • Determine proper routing of complaints, petitions, and other filings.
  • Generate and issue court documents; review for accuracy and completeness; compute applicable dates for service and return of service, affix court seal and authenticates documents.
  • Update the court's computer system in real time with relevant details of the court proceedings.
  • Ensure electronic messages containing custody, warrant and sentencing information are passed to partner agencies in a timely and accurate manner.
  • Coordinate the scheduling and calendaring of hearings; send out notices; contact attorneys and parties concerning rescheduling; make appropriate record entries.
  • Perform courtroom clerical duties; prepare calendar, case files and forms for court; check customers in and call the calendar; coordinate with justice partners; administer oaths to interpreters and witnesses; take court minutes; manage exhibits; set court dates for next appearance; arrange and organize the docket, note continuances, prepare and process court orders through live in-court updating.
  • Perform financial activities within the office including but not limited to assessing and receipting fines/payments, restitution and bail, and reconciling daily receipting.

Typical Qualifications

MINIMUM QUALIFICATIONS
  • Education
    • High School Diploma or Equivalent
  • Experience
    • Six months to two years as a court clerk or in the legal field, or an equivalent amount of experience in a highly technical field with a customer service focus; or an equivalent combination of experience and education.
  • Knowledge, Skills, and Abilities
    • Demonstrated ability to establish and maintain positive and effective working relationships with others, including collaborating with others as needed.
    • Excellent customer service and interpersonal skills, including the ability to de-escalate difficult customer interactions.
    • Demonstrated ability to work respectfully with people from diverse backgrounds, both as customers and co-workers.
    • Demonstrated ability to read and comprehend rules, statutes, and legal documents of varying type and complexity.
    • Demonstrated accuracy in work product, with an emphasis on accurately serving members of the public.
    • Demonstrated ability to remain flexible and adaptable to change including assignments, procedures, and new initiatives.
    • Demonstrated ability to be self-directed, organized, and work with little supervision.
    • Demonstrated ability to make independent judgments and decisions.
    • Demonstrated ability to multitask and prioritize work duties, pay attention to detail, work well under pressure, and work in a high volume, fast paced environment.
    • Demonstrated ability to communicate effectively orally and in writing. Demonstrated ability to handle sensitive and confidential matters and court files appropriately and in compliance with all applicable court rules, policies, and statutes.
    • Skilled in the operation of a personal computer and computer programs.
    • Must have a reliable attendance and punctuality record.
    • Willingness to be a team member who is accountable, skilled, efficient, flexible, motivated, and positive.
    • Will organized, detail oriented, and analytical.
  • PREFERRED QUALIFICATIONS
    • Paralegal or Associate's degree, or Bachelor's degree in Criminal Justice, Political Science, Business Administration, or a related field.
    • Considerable knowledge of court procedures, policies, and legal documents and terminology, laws and functions pertaining to the court.
    • Experience working with the Minnesota Court Information System (MNCIS).
