Job Description


It is the responsibility of the Corporate Receptionist to provide high-level, quality communication and customer service to the employees, the executive directors, the management team, the vendors, and the visitors of Discovery Behavioral Health. Furthermore, the Corporate Receptionist

will provide assistance to the Office Manager, Executive Assistant relative to projects, initiatives, and activities as assigned.


Job Duties and Expectations

  • Greet all visitors in the main corporate lobby and notify employees when guests have arrived; guests will sign in and receive badges as necessary.
  • Answer and direct all incoming phone calls and voicemails appropriately; take and retrieve messages on behalf of corporate personnel.
  • Provide callers and visitors with company information (ie. company address, directions, location, fax numbers, website address, etc.).
  • Sign for all corporate deliveries and prepare packaging and shipping labels to send shipments via USPS and FedEx upon request.
  • Retrieve, open, sort, and distribute all corporate and facility mail/email to the appropriate department or employee on a daily and timely basis.
  • Maintain and organize the corporate office supply cabinet on behalf of all departments. This includes ordering, receiving, stocking, and distributing office supplies as needed.
  • Manage provisions, supplies, and general upkeep of the corporate breakroom and small kitchen areas in Suites 101 and 111. This includes ordering, receiving, and stocking office snacks, beverages, paper goods, and cleaning supplies; cleaning out breakroom refrigerators every Friday at 5:00pm; upholding and supporting the overall cleanliness of the breakroom.
  • Assist with Enterprise Fleet management program and related fuel card management
  • Assist IT department with administrative duties including expense report matching, etc.
  • Scan billing authorizations from mail and upload to the shared drive on a daily basis.
  • Assist with tasks related to the COVID-19 pandemic. This includes, but is not limited to, cleaning and disinfecting the front desk and executive suites, the breakroom, and the kitchen areas in Suites 101 and 111 and labeling/sending out PPE to facilities.
  • Request key cards and address building repairs with property management company.
  • Ensure that doors to Suite 111, Admissions, and breakroom are secured and locked upon leaving each day.
  • Assist with ordering and coordinating breakfast and lunch meetings (including set-up and take-down).
  • Maintain conference room calendars by scheduling meetings and appointments. This also includes keeping conference rooms clean and organized.
  • Assist with clerical duties including, but not limited to, photocopying, faxing, filing, and collating.
  • Perform other administrative duties as assigned.


This position will work Monday-Friday 8am-5pm at our corporate office


Qualifications

  • High school diploma
  • One year of experience in office reception or secretarial work is preferred.

  • Demonstrate strong organizational skills and attention to detail.
  • Exhibit proficiency in Microsoft Office (Word, Excel, Outlook, and Powerpoint).
