Overview:The Job in a Nutshell:
The Construction Administrative Assistant position provides office services to the department by implementing administrative systems, procedures, and policies and monitoring administrative projects. This position acts as a liaison between facilities, store management personnel, contractors and Home Office.
Responsibilities:Main Ingredients:
- Accounting support
- Process equipment/installation PO's change orders when applicable
- Receive vendor PO acknowledgments, advise, assist with and/or resolve discrepancies
- Works with Accounting on invoicing discrepancies to assist with the resolution of issues
- Maintains budget records and assists with approval process (es) for over-expenditures
- Contact List maintenance
- Creates and maintains contact lists for each new store
- Updates contact list after warranty expires to regular service provider
- Keeps all vendor contact information updated
- Insurance
- Maintains vendors certificates of insurances
- Manages insurance claims for stores
- File Maintenance
- Creates and maintains facilities filing system for invoices and equipment (new and used)
- Maintains new store and remodel files/records
- Updates cut sheet and vendor files
- Officetrax and other Recordkeeping
- Enters new store info into Officetrax
- Adds all serial numbers from all new equipment into Officetrax
- Enters and updates Preventative Maintenance contractors
- Updates into SharePoint the Facilities Purchasing spreadsheet for each store
- Inventory, Parts and Deliveries
- Orders warranty replacement parts
- Maintains inventory spreadsheet of DC used equipment
- Expedites equipment deliveries when applicable
- Light warehouse work when needed
- Other projects as required, and department evolves

Qualifications:Recipe for Success:
- High school diploma, GED or equivalent experience is required
- OSHA 10 certification preferred
- Possesses a high level of organization with the ability to manage a multitude of projects simultaneously
- Provides excellent customer service
- Ability to communicate effectively (written and verbal) with managers, vendors, subcontractors, and all levels of employees
- Must have problem solving, prioritizing abilities, and interpersonal skills Ability to adhere to strict time deadlines and work under pressure
- Ability to execute tasks in an efficient manner without sacrificing quality
- Must be flexible and able to adapt to changing priorities and procedures; ability to manage high level of stress and to take direction from various people
- Possesses intermediate computer software skills with Microsoft Word, Excel, Outlook; and Sharepoint; familiarity with SAP is required
