The Concierge works independently, and without direct supervision. Creates a positive first impression of the community via telephone and in person. Possesses strong communication, telephone, and service skills. Meets and greets residents; checks guests and service providers in/out. Able to understand and react to emergency response and assess control procedures, monitors and operates electronic security systems; and accurately maintains daily logs, records and forms.
This position assumes responsibility for overseeing the receiving area and freight elevator; maintains safety, orderliness and cleanliness; verifies licenses, insurances, and permits of all service providers and contractors through the management office; enforces parking regulations; enforces rules and regulations of the Association. Stands and greets residents and guest as they arrive and depart. Provides baggage, package, grocery, and parking assistance. Promptly notifies Residents and delivers packages received to respective resident service areas.
Position Responsibilities:
- Assist in maintaining the cleanliness and attractiveness of property.
- Manage the general atmosphere of the front desk area insuring it is neat and clean at all times.
- Demonstrates excellent customer, communication and time management skills.
- Stock coffee bar supplies & empty trash morning and evening (Weekends)
- Clean front entrance windows and main elevator mirrors (Weekends)
- Walk perimeter of property and amenities (Weekends)
- Monitors and controls electronic security control systems.
- Responds to emergency situations in a timely efficient manner.
- Monitors and controls access to the building.
- Maintains daily log, records and forms.
- Reports complaints/issues of any kind in writing and immediately to upper management.
- Responsible to the needs of arriving and departing residents.
- Stands and greets and assists residents and guests with baggage and package handling.
- Answers inquiries pertaining to services, registration of guests, and shopping, dining, entertainment, and travel directions.
- Maintains equipment in working condition and reports any maintenance issue for repair.
- Schedules access for authorized vendors to provide services within units.
- Delivers Association correspondence to all parties and sees to it that all out of town residents are faxed or e-mailed with a confirmation provided to the Association of any transmitted correspondence.
- Maintains resident/guest/building/owner/employee privacy and organization reputation by keeping all information confidential. Gossip or fraternization with any resident is not permitted at any time in order to maintain an only professional relationship.
- Never permits the receiving area to be blocked.
- Schedules freight elevator from residents moving in and out in advance adhering to Association Policy.
- Registers all deliveries and packages (i.e. Fed Ex, UPS, DHL, registered mail).
- Reports all problems to the supervisor, including problems outside of the scope of responsibility.
- Issues parking passes to all approved vehicles.
- Registers and distributes ID passes to all contractors and building visitors.
- Responsible for always notifying the resident before allowing visitor entry.
- Monitors the coming and going of service contractors and building repair and maintenance contractors through logs.
- Completes required reports.
- Ensures all safety precautions are taken and all safety procedures are followed.
- Maintains a safe work environment.
- Maintains a safe and secure environment throughout the building/property.
- Maintains all keys in the approved area. No keys to leave the building at any time.
- Oversee the signing in and out of keys.
- Answer phone lines and direct calls as needed.
- Responsible for carrying out all special duties as assigned by the manager or assistant manager.
- Any information obtained of a business or personal nature or from any resident is to be reported, at a minimum, in writing on daily reports.
- Anyone requesting special services in their unit will be coordinated in writing through the Manager. No exceptions.
- No personal or family relations are permitted to work at the building. Needs of residents are to be arranged only through insured and reputable resources.
- Will leave the premises immediately after the shift is over unless an emergency situation has occurred at which time will follow WRMC Policies.
Physical requirements include ability to lift up to 50 lbs.; Standing, sitting, walking and occasional climbing. The employee is required to work at a personal computer for extended periods of time as well as talking on the phone for extended periods of time. Ability to detect auditory and/or visual emergency alarms. Ability to work extended/flexible hours and weekends based on project requirement. Ability to respond to emergencies in a timely manner.
