Clinic Manager – Immediate Opening

The Clinic Manager is responsible for the day to day business operations of the MSP Psychological Clinic, assisting the Clinic Director in managing the Clinic according to standards established by the Michigan School of Psychology in keeping with accreditation and professional practice standards. The Manager role is critical to the success of the daily and overall operations of the Clinic.

The Clinic Manager must be competent in organizing and independently prioritizing work, problem solving, establishing/improving procedures and systems, and ensuring orderly and timely work flow. The ability to effectively utilize computing technology, including Microsoft Office and electronic medical record systems, and to collect and report data is essential. This individual must be sensitive to the needs of the organization, clients, student clinicians, and other co-workers to maintain and promote a productive work environment. This position reports to the Vice President.

Job Duties and Responsibilities:

  • Manages the business operations of the Clinic to include establishing procedures for client scheduling, billing, record keeping, data entry, payment collection and reporting
  • Collaborates with Clinic Director and other Clinic personnel to set and achieve service and capacity targets
  • Creates student clinician schedules in accordance with class schedules and Clinic staffing needs to maximize clinic capacity
  • Oversees all database/practice management systems to ensure maximum accuracy in patient tracking, billing, record keeping and adherence to Clinic policy; serves as liaison with IT in resolution of computing and phone issues
  • Maintains confidentiality of client data and records; ensures administrative compliance with HIPAA legal and policy requirements
  • Implements client outcome and satisfaction systems to collect, integrate, report and analyze data
  • Serves as interface between Clinic, financial accounting and medical biller
  • Generates financial and outstanding accounts payable reports; assists in reconciliation of data with recordkeeping for accuracy
  • Tracks client payments, communicates Clinic policy to student clinicians and clients with outstanding balances, and reconciles payment records
  • Maintains expenditures within authorized budget; prepares requisitions/reimbursement requests
  • Reviews manuals and assists in updating Clinic forms, policies, and procedures minimally once per year
  • Assists Clinic Director in management of student clinical hours reporting, attendance, and compliance with Clinic operations such as scheduling, recordkeeping and client follow-up
  • Additional responsibilities as determined by Clinic or MSP Leadership

The successful candidate will possess the following knowledge, skills & abilities:

  • Strong data collection and analysis ability with attention to detail and accuracy
  • Ability to think critically and manage processes to effectively coordinate efforts of professional and support staff
  • Excellent administrative, analytical, problem solving, and organizational skills
  • Ability to prioritize work, work independently and meet deadlines
  • Excellent verbal, written, and interpersonal communication skills
  • Ability to maintain confidentiality and discretion
  • Demonstrated ability to be professional, positive, and energetic.
  • Proficiency in Microsoft Office, EMR-electronic medical records and/or other related database and software programs
  • Knowledge of applicable federal and state laws and regulations related to the healthcare industry preferred

Required Qualifications:

  • 2 to 3 years progressively responsible business office experience; health care or clinic setting preferred
  • 2 years higher education at Associate degree level; Bachelor degree preferred
  • Equivalent education and work experience will be considered

Working Conditions:

The Clinic Manager is a part-time, 30 hours per week salaried position with benefits*; there is the potential for the position to grow to full-time. This is not a remote position; work is performed in-person on campus.

*Medical benefits available to salaried employees working a minimum of 30 hours per week.

The Michigan School Psychological Clinic opened in 2020 providing low-cost psychological testing, psychotherapy and Applied Behavior Analysis services for the Greater Metro Detroit Community. The MSP mental health clinic is staffed by a Clinic Director, Clinic Supervisors, and graduate practicum students from MSP’s master’s and doctoral programs. Fees for mental health services are calculated on an income-based sliding scale. The clinic provides education and training of MSP graduate students, as well as offer opportunities for advancing clinical research, institutional collaborations, and community partnerships.
