Position: Clerk Specialist (40 hour/12 month)
Office of Student Services
The Clerk Specialist is responsible for enhancing the effectiveness of the operations of the Office of Student Services by providing information management support. Reports to the Fiscal and Operations Manager.
Major Areas of Responsibility:
- Organizes work by reading and routing correspondence; collecting information; initiating telecommunications
- Prepares reports by collecting information
- Organizes the work of the Coordinators to ensure seamless management of programs and services
Primary Objectives:
- Supports the Special Start Coordinator and Lead; lottery assignments, placements and maintain database
- Ensures quality customer service by greeting customers, in person or on the telephone, answering and referring inquiries
- Maintains customer confidence and protects operations by keeping information confidential
- Collects, tracks and records monthly out of district attendance for all out placed students
- Coordinates and tracks food snacks for OSS classrooms
- Review IEP packets for evaluations involving a consent and extended evaluations; send notices for missing pieces, unsigned assessments, unsigned IEPs and other errors found in IEP review
Specific Responsibilities:
- Supports the work of the OSS Coordinators
- Supports family and community engagement and communication
- Maintains office supplies inventory by checking stock, anticipating needed supplies, placing and expediting orders; verifying receipt of supplies
- Maintains student databases accuracy
- Serve as backup for Confidential Secretary, when needed
- Any duties as deemed necessary by the Fiscal and Operations Manager
Minimum Qualifications:
High School Diploma, GED, or Equivalent; preferred Associates/Bachelor’s degree. Three years clerical and/or office experience, five years preferred.

Terms of Employment:
Full time position (12 months/year, 40 hours/week).
