The Billing & A/R Specialist position reports to the Controller and handles matters relating to billing and accounts receivable collections. This key position drives cash flow through meeting strict billing deadlines by promoting a sense of urgency and establishing individual accountability. Pushing yourself to achieve results, while maintaining high standards of quality and accuracy are vital to success in this role. Job Responsibilities:

• Ensure accurate and timely pre-invoices are sent to sales team for approval within 1 day of job completion.
• Promptly process outgoing invoices, with a 1 to 2 day turnaround time.
• Work in multiple customer portals to input invoices according to customer specifications.
• Manage workflow to ensure daily and weekly goals are met.
• Set priorities to ensure billing deadlines are met for month-end close.
• Ensure the prebill email box is managed in a way to maximizes workflow efficiency.
• Ensure commissions are entered promptly after invoicing jobs.
• Assist with closing jobs after commissions are reconciled.
• Enter new customer information into the billing system.
• Assist with applying checks, ACH, and credit card deposits, as needed.
• Assist with answering accounts receivable phone and email inquiries.
• Monitor the A/R email box.
• Work with customers on collecting past due amounts, as needed.
• Exercise independent judgment and discretion in making decisions.
• Demonstrate urgency to resolve issues with other departments while using sound judgment in decisions.
• Actively work to promote a culture of open, professional, and constructive communication.
• Additional tasks as assigned.

Desired Qualifications & Skills:

• Minimum 1-year previous A/R and billing experience preferred with substantial knowledge of the entire billing and accounts receivable cycle.
• A desire and ability to quickly learn and retain new information is a must.
• Proficient with spreadsheets and databases.
• Strong organizational skills and the ability to manage multiple responsibilities at one time.
• Strong attention to detail and ability to follow processes.
• Dedication to meet critical business deadlines.
• Exceptional analytical and problem-solving skills.
• Excellent written and verbal communication skills combined with an approachable and collaborative attitude.
• Exceptional time management skills.
• Ability to pass a background check and drug test.
