Behavioral Health Administrative Assistant and Billing

PURPOSE
This position provides clerical support to Behavioral Health Clinical Staff and billing for all behavioral health services. This includes greeting clients, answering the phone, scheduling appointments, word processing, faxing, filing, copying, scanning, and scheduling meetings. The employee also drafts routine correspondence and assembles highly confidential and sensitive information. The employee works with a diverse group of Behavioral Health clients, as well as internal contacts at all levels of the organization.
Independent judgment is required to plan, prioritize, and organize workload, and recommend changes in office practices or procedures.
REQUIRED QUALIFICATIONS
- High School Diploma or equivalent education
- One year of administrative experience
- One year of healthcare billing experience
- Excellent computer skills and proficiency in Microsoft Office; including database, word processing, PowerPoint and Spreadsheets
- Ability to handle multiple assignments at any given time and to prioritize tasks
- Ability to work independently with minimal supervision and meet deadlines
- Ability to work at a designated worksite location – This position cannot be performed remotely, meaning that it cannot be performed primarily from home.
PREFERRED QUALIFICATIONS
- Associate’s Degree
- Two years of related experience, at least one of which is in the medical or behavioral health field
- Bilingual – English/Spanish
- One year of experience with an electronic healthcare record system

ESSENTIAL DUTIES

- Timely electronic Behavioral Health services billing and management of client accounts to include; client insurance verification reviews, payment collection and posting
- Greets, welcomes and checks in Behavioral Health patients and clients who present for appointments; provides appropriate pre-visit documentation as directed
- Schedules follow up appointments for BH patients/client as directed
- Answers phone; schedules/reschedules BH patient/client appointments; takes messages and routes messages promptly and appropriately; answers routine questions.
- Assists with verification of insurance coverages.
- Forwards BH registration packets to patients/clients via email or USPS, or direct pick up by patients/clients
- Maintains a neat and clean reception and lobby area with all necessary stationery and material (e.g., pens, forms and brochures).
- Receives, sorts and distributes BH faxes.
- Maintains office security by following safety procedures and controlling access via the reception desk
- Schedules and organizes complex activities such as meetings, travel, conferences, and department activities for employees.
- Types and designs general correspondences, charts, tables, graphs, etc. Proofreads for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Establishes, develops, maintains, and updates filing systems and referral database. Retrieves and refiles information from files when needed.
- Works independently and within a team on special nonrecurring and ongoing projects.
- Handles confidential and sensitive information.
- Other duties as assigned.
AGENCY REQUIREMENTS
- Must pass criminal background check and pre-employment drug screening.
- Must satisfy state and agency requirements for Tuberculin testing.
- Must have reliable personal transportation, and current and valid driver’s license and vehicle insurance.
- Must demonstrate support and adherence to the mission, vision and values as set forth by the agency.
- Is responsible for knowledge and compliance with agency policies and practices (e.g., fire, safety, disaster, infection prevention, etc.).
- Must maintain and protect patient, client and agency business sensitive information in a confidential manner.
- Must practice appropriate HIPAA confidentiality accessing patient related information on a need to know basis only and using the minimum necessary standard regarding protected health information.
