Job Description:

Tax Operations is responsible for multiple tax related functions to support IRS and State regulatory required tax reporting, withholding payments, primarily on behalf of Wealth Management investment and retirement accounts. The Short Form Reporting Team Assistant Manager is responsible for assisting with the day to day management of the team. The Short Form Reporting Team Assistant Manager must support the strategic growth of the team through analytical thinking, problem resolution, project management and process improvement. The role must be able to work overtime to support supervision of the team throughout tax season, which is generally highest January - April.

The responsibilities include, but are not limited to the following:

  • Understanding and ensure compliance with regulatory requirements
  • Oversight of day to day processes; including on-boarding, training and associate readiness
  • Drive strategic project plans and process improvement within team and with Tax Operations
  • Coordinate projects, risk issues and remediation efforts affecting the team
  • Responsible for oversight of procedure documentation and validation
  • Review and analyze team metrics, and drive resource planning
  • Backup for in-line manager approvals (as applicable), as well as review and implementation of process controls
  • Handle client/branch office escalations
  • Handle day-to-day responsibilities of vendors
  • Identify process improvements, handle multiple projects and adjust to a constantly changing environment with new approaches that improve overall work efficiency and effectiveness
  • Foster employee development and growth through coaching and mentoring
  • Assist in establishing employee objectives
  • Promote open communication within the department and across sites and other business groups
  • Encourage and empower others to achieve, create enthusiasm, and foster the development of a common vision
  • Recruit and hire the right people for permanent and temporary assignments

Required Skills

  • 3-5 years Operations experience
  • Ability to manage multiple priorities to meet deliverables expected by clients and organization
  • Ability to analyze issues quickly and use sound judgment to identify solutions
  • Strong communication skills and ability to interact with senior branch management
  • Strong organizational skills including the ability to manage multiple responsibilities, prioritize and delegate tasks
