The Associate Career Services Specialist is responsible for maintaining accurate and complete records of extern students, active extern employers, and ECPP/ATB students. This position assists the Director of Career Services and the Career Services Specialists with managing documents in areas such as, extern timesheets, externship attendance and essential employer paperwork to maintain compliance for the Career Services Department. The Associate Career Services Specialist also assists the Career Services department in events such as Senior Day/Externship Orientation, site assignments and site development to support the population of externs, as well as all administrative duties that pertain to students during the Externship or Graduate Checkout process.
Essential Job Duties and Responsibilities- Works with Career Services Specialists on collection and completion of extern timesheets, and ensures completeness of employer paperwork and policies
- Acts as a liaison between Career Services and Education Department for LDA (Last Day of Attendance reports/SOS meetings) and Initial Site Visit calendar
- Works with Career Services staff to ensure extern sites have all necessary paperwork updated and filed in a timely fashion
- Prepares Senior Day/Extern Orientations
- Co-ordinates with Department heads on schedule per program
- Prepares all visuals and presentations
- Ensures maintenance of all packets, post-assessments and checklists
- Prepares and maintains sign in sheets for all student meetings
- Follows up with class completers to make sure they attend Senior Day/Extern Orientation
- Assists the Director of Career Services obtain externship data for reporting purposes
- Assists the Director of Career Services in managing the ECPP population, and advisements required by Career Services colleagues
- Conducts all activities in accordance with the highest ethical standards. Adheres to all state and federal accreditation and institute rules and regulations regarding externship compliance
- Other duties as assigned
- High School Diploma, required or Associate Degree, preferred
- Solid understanding of the Student and Extern life cycle within a school setting and/or the Career Services externship process
- Excellent communication, customer service and interpersonal skills, including superior problem solving, organization and conflict resolution skills
- Ability to work with people from a variety of diverse social and economic backgrounds
- Ability to professionally represent the campus in the employment community
- Ability to work independently and adapt to change
- High energy, assertive, results driven and highly ethical
- Computer proficiency in Word, PowerPoint and Excel a must
