The Florida Conference is excited to announce a search for an Assistant to the Director of The Office of Clergy Excellence (OCE). This role will be responsible for recruiting, developing, credentialing, and support the Florida Conference Clergy Leaders. This position is responsible for maintaining and administering communication systems utilized by the Board of Ordained Ministry and Leadership and for coordinating and maintaining consistent information and resources for all persons in discernment for clergy roles and those supporting them in the process.


Primary Roles include but are not limited to:

  • Provide administrative support to the Director of The Office of Clergy Excellence, 8 (eight) District Committees, Board of Ordained Ministry (BOM), and Cabinet as needed, including processing background checks, coordinating psychological assessments, reviewing transcripts for accuracy and compliance, preparation and development of materials for Annual Conference.
  • Coordinate meetings and retreats, including developing agendas, preparation of training materials, arranging logistics, maintaining event registration, and facilitating portions of the retreat as assigned by the Director.
  • Coordinate all professional clergy development events including the annual Licensing School.
  • Process psychological reports from the Ministerial Assessment Specialists (MAS) to the appropriate Mentors, District Committee Chairs and Registrar, District Superintendents, and Board Members and to appropriately authorized counselors with notarized releases from candidates.
  • Coordinate communication for the Officer of Clergy Excellence, including, but not limited to assembling and distributing brochures, handbooks and other supportive promotional material. Also maintain the website for the Officer of Clergy Excellence.
  • Ensure conference-wide consistency in all recruitment processes – District Committees on Ministry (dCOM), recruitment, applicants, mentor training, etc. This includes partnering with Local Churches.
  • Assist the Director to provide leadership training for clergy and laity in an aligned and effective manner.
  • Attend all Board of Ordained Ministry meetings coordinating the work of the interview team secretaries.
  • Prepare reports for the Annual Conference Workbook and Journal and other reports or presentations as needed including the Business of the Annual Conference (BAC).
  • Maintain records, including electronic records, in accordance with established federal and state guidelines and Conference policy.
  • Manage department expenses and process routine bills/payments, including expense reports to Financial Services.
  • Process applications and submit funding for Course of Study, Advance Course Study, Continuing Educations Events and Ministerial Education Funds.
  • Prepare for Course of Study graduations and Seminary visitations by the Director.
  • Supervisor the District Registrar.


Qualifications:

  • Bachelor’s Degree or equivalent work experience is required, master’s degree in theological education is preferred.
  • 3 to 5 years of progressively responsible administrative experience.
  • Advanced proficiency in Microsoft Office software and ability to learn and operate proprietary software systems.
  • Ability to maintain the highest levels of confidentiality when receiving data, information and correspondence relevant to projects, services, and events.
  • Ability to work independently and proactively with strong organizational skills, critical thinking, independent decision-making skills, supervise others, plan, prioritize, problem-solve and multi-task while demonstrating excellent interpersonal skills.
  • Excellent calendar management skills and demonstrated history of complex scheduling with consistent follow through, including scheduling travel domestically and internationally.
  • Basic accounting and bookkeeping skills with a working knowledge of financial and data management software systems.
  • Must be familiar with and have experience using new communications technologies such as online video conferencing.
  • Ability to exercise a high level of judgment in accomplishing assigned tasks with emotional maturity and stability, within the parameters of established policy and procedures, and in regular communication with the Director, fellow staff and related volunteers and employees.
  • Must possess: interpersonal skills, ability to listen and incorporate constituents’ ideas, communication skills, knowledge and proficiency in planning and organization, ability to prioritize, budgeting skills, decision making skills, excellence in writing, teaching skills, cultural sensitivity, discernment, judgment, and initiative.
  • Deep knowledge of, and commitment to, The United Methodist Church and how it functions at the local church, district, conference, and general church levels is strongly preferred. In-depth, experience-based knowledge of the doctrine, polity and structure of The United Methodist Church, and an understanding of the work and inter-relatedness of the General Church, Conference, and District structure, the area office and the local church.
